What You Can Expect
The Project Coordinator will support the Project Manager to provide comprehensive support for a Capital Project on Campus, ensuring smooth execution of project activities, planning, coordination with key contractor(s)/vendors, CapEx team, and Operations & Maintenance teams.
- Assist the Program / Project Manager administratively and with field activities during project development and execution of the Capital Project.
- Support Operations & Maintenance and Contractor with any walk-downs or site visits to areas such as distribution system(s) and mechanical room(s) to confirm existing site conditions as part of construction planning activities.
- Actively participate in discussions with Project, Engineering, and Contractor teams for outage, equipment staging, and any other construction planning meetings.
- Provide input on logistics and construction plans from ENGIE or other third parties.
- Conduct site surveys at least three times per week (or as needed by the Capital Project) to gather project data, assess progress, and ensure alignment with project plans.
- Assist with management of interfaces with University and Contractor(s) and other vendor(s), including staging and logistics for temporary equipment, deliveries, and utility outage planning and execution.
- Act as the field superintendent for the Project by addressing execution issues, alongside the Construction Manager on the Project.
- Coordinate with appropriate parties for any required project permits, including coordination with Contractor and University, as needed.
- As needed, conduct coordination activities for parking passes, keys, and badges for Contractor(s).
- Inform other contractor(s) or vendor(s) about Contractor activities in the affected Capital Project areas.
- As needed, Conduct Contractor safety orientation (including coordination with Construction Manager), and assist safety coordinator(s) with information tracking or document updates.
- As needed, handle administrative tasks related to the project, including maintaining project documentation (e.g., contracts, meeting minutes, reports). Organize and maintain project data and files, transferring information between platforms and documents as required. Perform administrative duties including word processing, hard copy, and electronic filing, copying, scanning, and binding of documents.
What You'll Bring
- Minimum of five years of relevant work experience required.
- High School Diploma required.
- Bachelor's Degree preferred.
- Experience with Primavera P6 is preferred, along with Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Experience with Procore, and/or various other project & construction management software tools, e.g. Procore, SharePoint, Bluebeam.
- Experience in construction industry and/or operations / field roles is required.
- Excellent organization and communication skills.
- Strong attention to detail with the ability to manage multiple tasks simultaneously.
- Ability to work independently in a fast-paced, dynamic environment.
- Demonstrate flexibility, responsibility, and initiative without direct supervision.
- Ability to adapt quickly to new systems, applications, and procedures.
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Primavera P6 experience is preferred to assist in project scheduling and tracking.
- Procore experience (or equivalent project management software platform) experience is required.
