Job Summary: The Department of Medicine - Division of Cardiovascular Medicine is seeking an Operations Manager to oversee and coordinate administrative operations within the division. Under the general supervision of the Division Administrator, this position will oversee and manage our administrative support staff and provider scheduling team. The incumbent will manage administrative operational workflows and lead team process improvement efforts to ensure efficient operations withing the division. This position also provides general administrative support for the Division Administrator. The incumbent works closely with division leadership, staff, faculty and advanced practice providers to coordinate division onboarding efforts. The Operations Manager acts as our division IT resource liaison and as the division facility liaison for office moves and office renovation projects. This position requires the ability handle multiple projects simultaneously and be well organized. The position requires excellent communication and people management skills, and the ability to work independently using initiative and good judgement. Work locations may include: UW Hospital, Arbor Gate (West Beltline) and the East Park Medical Center or East Madison Hospital. Responsibilities: Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures. 10% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement 20% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures 30% May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees 10% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications 5% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies 5% May assist in the development and monitoring of the unit or program budget and approve unit expenditures 5% Audits and tracks compliance for various HR functions such as performance evaluations, onboarding, off boarding, criminal background checks, and credentialing 10% Serves as the unit liaison to internal and external stakeholder groups providing organizational information and representing the interests of the unit 5% Provides general administrative support to the administrator of a division, including scheduling logistics, securing resources, and other work unit operations Institutional Statement on Diversity: Diversity is a source of strength, creativity, and innovation for UW-Madison. Some work may be performed remotely, at an offsite, non-campus work location. Appointment Type, Duration: Terminal, 24 month appointment. This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding Salary: Minimum $70,000 ANNUAL (12 months) Depending on Qualifications The starting salary for the position is $70,000 but is negotiable based on experience and qualifications.
