This Accounts Receivable Specialist Position Features:
Billing & Invoicing

• Generate and issue invoices according to the company’s milestone-based payment schedule, including deposits, installation, and inspection.
• Ensure all invoices are accurate, properly documented, and aligned with project contracts.
• Track and manage milestone payments, ensuring timely invoicing upon project progression.
• Coordinate with project management, sales, and finance teams to confirm invoice readiness based on project completion status.
• Ensure all financing-related invoices are submitted in accordance with lender requirements and payment timelines.
• Maintain detailed records of all invoiced amounts, outstanding balances, and payment statuses within QuickBooks.

Collections & Payment Follow-Up

• Monitor accounts receivable balances and follow up on overdue invoices daily.
• Maintain friendly and professional communication while reinforcing that past-due balances must be paid to progress the project.
• Proactively contact customers via phone and email to remind them of outstanding payments and due dates.
• Send payment reminders, past-due notices, and final demand letters as needed.
• Work with customers to resolve disputes while ensuring timely payment collection.
• Accurately document all received payments in both QuickBooks and the corresponding Opportunity record in Salesforce.
• Escalate delinquent accounts as necessary while maintaining a customer-focused approach.
• Track and document all collection efforts within QuickBooks and Salesforce.
