Formal AU Job Title: System Administrator, Campus Events
Essential Functions
- Oversees the Auburn University Campus Event Planning System or other event management software to tracking, form collection (Certificates of Insurance, waivers, facility use agreements), committee comments, and event approval/denial with an eye for detail. This process includes the review of all event submissions and subsequent communications with the event planners and the approval teams to ensure that everyone has the information needed to properly evaluate and review events.
- Maintains an internal event calendar that encompasses all events on campus, including academic, event system, athletic, and City of Auburn events.
- Development and presentation of training, communication and event planning materials that partner with the Event System designed with for our on-campus event planners and system approvers.
- Serves as the Lead member of the Event Management Working Group working in collaboration with subject matter experts to evaluate events/activities from various campus perspectives.
- Develops and oversees event guidelines and best practices (e.g. pre-event inspections, event safety, vendor management, insurance requirements, incident response). Partners with university departments, student groups, and third parties to provide risk management guidance for planning and executing successful events. Works with subject matter experts, campus units and professionals within RMS to ensure pre-event site visits are scheduled, conducted, and risk mitigation strategies are developed.
- Collaborates with approval groups including Youth Protection to ensure events/activities with minors are compliant with the Youth Protection Policy; and Risk Management & Insurance to develop Event/Activity specific Waivers, Hold Harmless, Informed Consents, or other recommended documents.
- Assists event organizers to develop and implement customized risk solutions. Provides guidance to administrators, faculty, staff, and the community of proper use of campus facilities, event venues, and equipment. May assist in the development and enforcement of operational and safety policies, procedures, and rules for the use of college facilities and event venues.
- Reviews agreements and/or documents to ensure compliance with AU policies. Ensures events or activities support the University's mission and is authorized by appropriate university authorities. Acts as the final decision maker regarding approval or rejection of events.

- Education - Bachelor's degree
- 4 years of experience in event management, systems administration and/or risk management.

Auburn University was established in 1856 as the East Alabama Male College, 20 years after the city of Auburn's founding. In 1872, under the Morrill Act, the school became the first land-grant college in the South and was renamed the Agricultural and Mechanical College of Alabama. In 1899 the name again was changed, to the Alabama Polytechnic Institute. Finally, in 1960 the name of the school was changed to Auburn University, a title more in keeping with its location, and expressing the varied academic programs and larger curriculum of a major university.
Today, Auburn is one of the few universities to carry the torch as a land, sea and space grant university. Our fall 2014 semester enrollment was 25,912. Our students can choose from more than 140 degree options in 13 schools and colleges at the undergraduate, graduate and professional levels.
