Risk Management Administrative Assistant - Military Veterans

The Risk Administrative Assistant will support different functions at the corporate risk management level and assist with various opened works and assignments individually as directed by the VP of Risk Management and Claims Manager(s). This role will assist with legacy claims matters as well as day-to-day commercial and property insurance matters to include annual renewal of same. Complete requests for Surety Bonds, payment of annual insurance and bond premiums.
Responsibilities
- Issuing new and amending existing certificates of insurance while reconciling insurance requirements detailed in contracts, master service agreements, amendments to contracts, master service agreements and/or purchase orders.
- Maintains accurate and up-to-date certificate of insurance library.
- Tendering claims to outside coordinating legal counsel and insurance carriers and updating distribution lists as necessary.
- Maintains accurate and up-to-date databases of claims matters.
- Maintain digital files of legacy insurance policy records, surety and legacy claims matters.
- Organizing insurance policies utilizing existing naming convention. (Electronic)
- Able to process and code invoices into our ERP system and submit to Account Payables, including adding new vendors to the approved vendor list.
- Working with local controllers to ensure premium invoices are paid with the correct entity and cost center.
- Track incoming rent payments and deliver to Treasury for deposit
- Process residential lease requests
- Set-up new property files
- Creating hard copy files when needed.
- General administrative support - filing, preparing correspondence, expense reports, file labels, shipments, etc.
- Maintains office supplies and coordinates maintenance of office equipment.
- Perform other work-related tasks as assigned.
- Comply with all NOV Company and HSE policies and procedures.
- Commercial insurance/insurance brokerage experience
- Excellent computer and organizational skills
- Knowledge of corporate database software
- Proficient in Microsoft Office with emphasis on Excel and PowerPoint
- SharePoint Proficiency
