Administrative Assistant III - Military Veterans

Lawrence Berkeley National Lab's ( LBNL ) BioSciences Area Office has an opening for an Administrative Assistant III to join the team.
At Berkeley Lab , you'll be part of a mission-driven organization at the forefront of groundbreaking scientific discovery. In this role, you will provide essential administrative support to managers, principal investigators (PIs), and professional staff at the Joint Genome Institute (JGI) and other groups within the Integrative Genomics Building (IGB) . You'll collaborate closely with a talented team to keep critical operations running smoothly while playing a vital role in advancing scientific research.
What You Will Do:
Safety Office Administrative Support
- Serve as a key point of contact for the Safety Office , assisting with scheduling, reports, and communication.
- Maintain essential safety-related databases, reports, and tracking systems to ensure compliance.
- Manage and track subcontractor Job Hazard Analysis (SJHA) Program , coordinating with vendors and contractors.
- Oversee the Lab Coat Process , ensuring proper distribution, tracking, and invoicing.
- Act as the Division Ergo Advocate , conducting ergonomic evaluations and providing recommendations.
Science Programs Administrative Support
- Support the Fungal & Algal and Plant Genomics Science Programs with high-level administrative coordination.
- Arrange travel for staff, including flights, hotels, and rental cars, and process expense reports.
- Organize site visits, seminars, and conferences , ensuring seamless logistics and support for guest speakers.
- Assist with preparation and submission of technical and scientific materials such as abstracts, presentations, and reviews.
- Coordinate hiring and onboarding processes for guest researchers and new employees.
- Maintain calendars, meetings, and agendas , ensuring efficient time management for program leads.
Additional Responsibilities as needed:
- Serve as a liaison with internal and external partners, including DOE and research institutions.
- Provide high-level administrative support across multiple teams, ensuring operational efficiency.
- Assist in coordinating and preparing documentation for audits, teleconferences, and meetings.
What is Required:
- 6+ years of administrative experience in a fast-paced environment, preferably in a research or high-tech setting.
- Proven ability to manage multiple priorities with strong organizational and problem-solving skills .
- Expertise in administrative procedures , including travel coordination, procurement, event planning, and document management.
- Tech-savvy with proficiency in Google Suite (Gmail, Calendar, Drive) and Microsoft Office (Excel, Word, PowerPoint).
- Excellent written and verbal communication skills with strong attention to detail.
- Ability to handle confidential information with discretion.
- Comfortable working in a collaborative, deadline-driven environment .
- Strong problem-solving and analytical skills , with the ability to assess situations, troubleshoot issues, and implement effective solutions.
- Demonstrated customer service skills , including professionalism, clear communication, and the ability to interact diplomatically with a broad range of individuals.
- Ability to perform the physical requirements of the position , including sitting and completing computer-related tasks for up to 6-8 hours per day .
Desired Qualifications:
- Associate degree (A.A.) or equivalent experience.
- Knowledge of UC, DOE, or Berkeley Lab administrative policies.
Notes:
- This is a full-time career appointment, exempt (monthly paid) from overtime pay.
- The hiring hourly range for this position is $32.84-$43.99. Salary for this position is based on a step schedule and the final candidate's qualifications, relevant experience (if applicable, and union contract agreement).
- This position is represented by a union for collective bargaining purposes.
