Overview
We are seeking a highly organized and detail-oriented Marketing Operations Manager with experience in driving operational efficiency through project and process management. This role is responsible for managing multiple simultaneous projects, optimizing workflows, and ensuring seamless execution across marketing, sales, and external vendors.
The ideal candidate has a strong project management mindset, thrives in a fast-paced, deadline-driven environment, and is passionate about developing scalable marketing processes. They should be able to prioritize competing initiatives, create structured workflows, and collaborate cross-functionally to remove obstacles and enhance team efficiency. Additionally, this person will play a critical role in building reports and dashboards that provide visibility into marketing performance, campaign
effectiveness, and operational bottlenecks, enabling data-driven decision-making.
Responsibilities
Project & Process Management (Primary Focus)
- Own and lead end-to-end project management for all marketing initiatives, ensuring timely execution within scope and budget.
- Develop, document, and continuously refine standard operating procedures (SOPs), workflows, and best practices to improve efficiency.
- Establish and manage a marketing project intake process, ensuring clear prioritization and alignment with business goals.
- Monitor and track multiple concurrent projects, identifying risks, dependencies, and roadblocks before they impact deadlines.
- Implement and maintain project management tools (e.g., Smartsheet) to streamline communication and execution.
- Proactively identify bottlenecks and inefficiencies, proposing data-driven solutions to improve marketing operations.
- Facilitate weekly status meetings, sprint planning, and post-mortem reviews to ensure continuous improvement.
- Work closely with vendors to ensure contracts are properly executed, deliverables are met on time, and any challenges are swiftly resolved.
- Track and manage vendor deliverables, timelines, and milestones, ensuring alignment with marketing goals and business needs.
- Maintain clear communication with vendors, proactively addressing issues, dependencies, or delays that could impact project execution.
- Collaborate with internal stakeholders to ensure vendor outputs align with campaign objectives and operational requirements.
- Assist in vendor onboarding, performance tracking, and contract renewals to maximize value and efficiency. Data, Reporting & Analytics.
- Build and maintain real-time dashboards and reports that track key marketing performance metrics, including campaign effectiveness, pipeline contribution, and operational efficiency.
- Analyze data to identify trends, inefficiencies, and opportunities for optimization across marketing programs.
- Conduct post-project evaluations, using data to refine processes and improve future execution.
- Ensure compliance with data privacy regulations (e.g., GDPR, CCPA) in marketing operations.
- Complete all special projects and other duties as assigned.

- Bachelor's degree in marketing, communication, or related field required.
- 5+ years of experience in marketing operations, project management, or marketing program management.
- Proven ability to manage multiple marketing projects simultaneously in a fast-paced environment.
- Strong expertise in project management methodologies and tools (e.g., Smartsheet, Asana, Monday.com, Wrike, Jira). Smartsheet experience is a plus.
- Experience developing and improving marketing workflows, processes, and SOPs.
- Ability to work cross-functionally and coordinate teams, vendors, and stakeholders effectively.
- Experience using marketing automation platforms (e.g., HubSpot) and CRM tools (e.g., Dynamics).
- Strong analytical and problem-solving skills, with the ability to build reports and dashboards that drive decision-making.
- Exceptional
- PMP, PRINCE2, or Agile project management certification is a strong plus.
- Ability to create detailed project roadmaps, Gantt charts, and workback schedules.
- Experience facilitating cross-functional collaboration between marketing, sales, and external partners.
- Experience in building marketing analytics dashboards using Excel, HubSpot Dashboards, Tableau, Looker, Power BI, or Google Data Studio.
- Background in B2B SaaS, healthcare technology, or regulated industries is a plus.
- Communicating with others to exchange information.
- Assessing the accuracy, neatness, and thoroughness of the work assigned.
- Remaining in a stationary position, often standing or sitting for prolonged periods.
- Repeating motions that may include the wrists, hands, and/or fingers.
- Must be able to provide a dedicated, secure work area.
- Must be able to provide high-speed internet access/connectivity and office setup and maintenance.

Base compensation ranges from $78,000 to $98,000 per year. Specific offers are determined by various factors, such as experience, education, skills, certifications, and other business needs.
