Job Description:
Parsons is looking for an amazingly talented Document Control Specialist to join our team! In this role, you will join a leading professional engineering, construction, and cost management team working on multiple projects in the King Abdullah Financial District (KAFD).
What You'll Be Doing:
Receives, tracks, and monitors documents using standard document management programs to register documents, create workflows, maintain databases, and produce logs, transmittals, and other reports as required.
Enters data and produces reports using other standard office automation or department-specific computer applications. Initiates and replies to routine correspondence related to area of responsibility.
Performing quality control checks to ensure that digital files are Complete, Legible, Oriented correctly, named consistently with the file naming convention, and Archived consistently with the file directory structure convention.
Ensuring that activities in the document control processing adhere to document control procedures.
Monitoring the use of the automated workflows and ensuring they are consistently operational and performing as designed.
Issuing and distributing reports on the status of documents to ensure all outstanding issues have been addressed.
Handling the proper organization and maintenance of the Project Documents.
Ensuring that all requests for documents are addressed in an efficient and expedited manner.
Preparing document control reports or any type of document required by any Program department.
Ensuring document distribution, both in hard copy and electronic copy, is carried out efficiently to meet the needs of the Program.
Regularly liaise with project teams to establish and coordinate work to ensure requirements are efficiently met.
Coordinate with project teams, contractors, consultants, and the Information Technology (IT) department to support the project closeout process and assist with document onboarding from the Project Management Software System (PMSS) to the final repository.
Assist users in capturing and locating electronic information.
Performing additional assignments as directed.
What Required Skills You'll Bring:
High school diploma (or equivalent) and typically 5+ years of relevant work experience, including 3+ years of prior document control experience.
Exceptional information management/document control skills.
Proficient with EDMS (Aconex, SharePoint) and MS Office with expertise in Microsoft Word, PowerPoint, and Excel.
Demonstrated ability to interact effectively with clients and consultants.
Good written and oral communication skills in English is required.
