Senior Director, Development Services

Job Summary:
Reporting to the Assistant Vice President and Executive Director, Institutional Funding and Sponsored Research, the Senior Director, Development Services oversees the receiving, booking, processing, and tracking of all charitable gifts coming into the College; the maintenance and updating of trustee, alumnae, and donor records; and any financial and data reporting produced by the staff. This role manages several teams within the division: Development Operations, Business Analytics, and Prospect Research & Development. This position works closely with Advancement staff to ensure the timely and accurate acknowledgment of all gifts and also works in close coordination with Finance and IT. The Senior Director will play a central role in the continuing development and use of the Salesforce database.

Job Description:

Duties & Responsibilities:

  • Ensure that all gifts and grants received by the College are booked accurately on a timely basis and in accordance with CASE standards.
  • In coordination with multiple team leaders, serve as a liaison between donors, banks, and Finance for all gifts sent via wire transfer, DTC-eligible securities donations, and mutual fund transfers.
  • Track all wire transfers internally ensuring accuracy and timely booking.
  • Establish and oversee record and data entry standards and gift booking policies, maintaining concise standard operating procedures, documentation, and data entry quality control reports.
  • Establish and oversee proper procedures for the calendar and fiscal year ends.
  • Work closely with Development Operations/Finance/IT staff members to monitor, upgrade, and/or simplify processes to improve quality and efficiency. This includes deleting duplicate records in the database.
  • Oversee production of quarterly reports on outstanding pledge payments. Serve as the primary point of contact for donor questions regarding pledges.
  • Serve as primary Development liaison with the Controller's Office to confirm gift records and reconcile the College's gifts and grants reported under CASE standards to Generally Accepted Accounting Principles on a monthly basis.
  • Represent the Development Office in the year-end audit of College financial records, providing documentation and reporting to auditors and handling auditing inquiries.
  • Maintain an understanding of all departmental functions to provide necessary back up other staff members.
  • Stay current in the area of Development Operations, including CASE management reporting standards, federal privacy regulations, and IRS guidelines.
  • Serve as a Core Team member of the new database migration team, providing expertise and translating department data needs in a new system (Salesforce and Affinaquest).
  • Work to identify system and process improvements to improve quality and efficiency as appropriate.
  • Work closely with VP, AVP, and Business Analytics team to project closing amounts at the end of the fiscal year.
  • Manage the Development Services departmental budget.
  • Maintain an understanding of all Development Services functions to provide necessary backup for other staff members, including depositing checks at the Bursar's Office on campus.
  • Other duties as assigned.

  • Highly organized and capable of managing multiple projects simultaneously while having the ability to shift work seamlessly when priorities change
  • Ability to use (or learn) Salesforce in a sophisticated and creative manner. Extensive knowledge of electronic spreadsheets, databases, and word-processing tools.
  • Strong financial acumen

  • Demonstrated motivational and problem-solving capabilities
  • Ability to adhere strictly to rules regarding confidential information
  • Ability to comfortably and confidently communicate with a wide variety of constituencies, including high-level donors.

Qualifications:
  • Bachelor's degree or equivalent experience
  • Solid understanding of fundraising principles and best practices
  • At least 5-7 years of experience with charitable gift processing and donor databases (Salesforce/Affinaquest preferred)
  • Familiarity with the fundamentals of cash accounting
  • Expert-level Excel knowledge


Preferred Qualifications:
  • Master's degree in a related field
  • Experience with database migration and management
  • Demonstrated staff management skills
  • Experience in a development setting within higher education


Physical Requirements:
  • Ability to perform customary office tasks such as sitting, walking, standing, computing, and answering telephone for moderate to prolonged periods of time combined with light to moderate reaching, bending and lifting, with the ability to lift items weighing as much as 25 lbs.


Additional Information:
  • This job is currently a hybrid position and requires a presence in the office of at least two days per week and up to five times a week, including for team and full staff meetings, events, and other times as directed by the supervisor.


Salary Range : $125,000 - 135,000 annually

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
