Job Description:
The assistant director reports to the Associate Vice President for the Central Giving Teams and works directly with the units that make up the teams of Central Giving, including the Regional Advancement, Metro NY, LAG/ Discovery, International, and Gift Planning. The role oversees moves management of staff members to create, track, analyze and manage processes and data to ensure accountability for portfolio and prospect assignments, pipeline development, and referrals across all central gift officers. They provide direct leadership, support, and coordination of unit operations, including managing and directing the strategic planning and coordination of the Cross-Team work for each region; Hill Society programs/outreach; and regional salon events/ programs; and leadership volunteer management including Regional Council meetings and programs, as well as the Hill Society Ambassadors. In addition, they coordinate and execute the reporting needed for quarterly Central Giving Team meetings.

Responsibilities:

  • Portfolio assessment, pipeline development, and referral management. Analyze data sets/dashboards and develop reporting to monitor portfolio activity, pipeline development for each gift officer and the Central Giving Teams as a whole, and the referral process between teams and development officers. Meet with individual gift officers regularly to ensure appropriate level of activity and discuss strategies for prospect movement. Develop and implement processes and workflows to measure and improve fundraising effectiveness and enhance collaboration and partnerships across the 5 teams and with partners across the division. Work collaboratively with Central Giving Team leadership to develop moves management systems in alignment with industry standards/peer institutions. Tasks include regular portfolio review; tracking and distribution of referrals and collaboration activity; administration and management of tools and technologies such as Citrus reporting, Data Insights, Sales Navigator, Ever True, and Thank View to increase effectiveness and accountability; and analyzation of return on investment for various aspects of our work including, STEM focused staff.
  • Cross-Team organization and execution. Develop and produce all reporting needed to evaluate and coordinate prospect and donor data across each region to drive efficiencies, communication, and partnership between centrally based teams and with colleagues across the division. Coordinate meetings with appropriate gift officers across 8 priority regions including Metro NY, Southwest, Midwest, Mid-Atlantic, Northwest, New England, South, and Central New York. Plan agendas and prepare reporting needed for monthly virtual meetings and quarterly in-person meetings of the Central Giving Teams. Monitor activity and regularly communicate with teams to hold gift officers accountable for determined outcomes.
  • Hill Society program management and outreach. Working with the Executive Director of Leadership Giving and Discovery and with partners from across campus including assistant deans, special events, donor relations, web services, and marketing, coordinate regular Hill Society programming to steward donors at this level. Tasks include event logistics and drafting communications, as well as coordinating program ROS logistics. Draft and coordinate communications to Hill Society donors on opportunities such as athletics events and other future programming ideas. Prepare reporting and data analysis to share with partners across campus to continue to grow Society membership and the number of donors at this level. Support the implementation and execution of the Hill Society Ambassadors including organizing data sets for members to utilize to help solicit, cultivate and steward Hill Society membership.
  • Salon event and programming. Working with Central Giving Team gift officers, plan and execute curated One University events and programs across the country designed to qualify and cultivate our best prospects in priority regions. Tasks include working with the gift officers to set goals and strategy; create tiered invitation lists to target optimal guest lists; create invitations; coordinate event and program materials, including event logistics; record event attendance in Citrus; and execute on follow-up stewardship working with the gift officers and partners.
  • Leadership volunteer coordination. Working with the Regional Team, support the work of the Regional Councils. Prepare data and reporting for these leadership volunteers to help align their peer-to-peer outreach with building the pipeline of prospects and donors for gift officers. Beginning in FY25, work with the International Advancement team to help develop an International Council as well, modeled after the Regional Councils.
