The Weapons Mission Services Division (WMS-DO) is seeking a highly skilled Operational Support Specialist to directly support training programs within the New Employee Training & Workforce Development group (WMS-1). The primary core tasks of the position will support the Associate Laboratory Directorate for Weapons Production (ALDWP), including deployed personnel working in the ALDWP facilities, with the implementation of live course instruction in a highly complex and fast-paced work environment.

The Operational Support Specialist will report directly to the Technical Training Team First Line Manager (FLM). The selected individual will perform day-to-day services for the Technical Training team. The selected candidate will be a dedicated expert in the Fissionable Material Handler (FMH) and Glovebox Operator (GBO) training programs.

Operations Support Specialist 1

Responsibilities include, but are not limited to:

Scheduling & Logistics Management:

  • Coordinate and manage Technical Trainer scheduling requests across multiple training sites with limited resources.
  • Schedule, organize, and manage registration and logistics for ALDWP live training courses.
  • Handle complex, overlapping schedules for training programs.
Process Improvement & Digital Transformation:
  • Research and assist with process improvements for transitioning the Technical Training team to electronic records.
Course Administration & Support:
  • Prepare and manage materials for live courses (workbooks, pamphlets, supplies, etc.).
  • Assist with course management in Utrain.
  • Manage participant scheduling for recertification and requalification under FMH and GBO programs.
LMS (Learning Management System) Administration:
  • Manage training assignments and course registration.
  • Issue training credits and maintain training records.
  • Create and schedule training offerings.
  • Run and analyze training reports.

What You Need

Minimum Job Requirements

Operational Functions:
  • Demonstrated experience and knowledge of business activities in an operational environment, including familiarity with one or more of the following: program management, compliance practices, records management, training qualification programs.
Training-Related Expertise:
  • Experience executing training/education programs for a wide variety of target audiences.
  • Experience with managing complex and overlapping schedules.
  • Experience working with customers and stakeholders to assure live courses meet customer needs, regulatory drivers, and contractual requirements and providing guidance in interpreting regulations and policies to ensure compliance
Computer Skills/Business Systems:
  • Knowledge of business and operations systems and standard software applications (i.e., Microsoft and Adobe products). Ability to effectively manage multiple, complex and overlapping calendars.
Accountability:
  • Experience working with confidential or proprietary information. Understanding of safety and security requirements to individual responsibility and as applicable to training activities.
Communication and Customer Service:
  • Demonstrated experience and ability to conceptualize and communicate program requirements and detailed elements to both technical and non-technical personnel.
  • Demonstrated skill with interpersonal, written, and verbal communications as evidenced by internal and/or external interactions, seminars, briefings, and presentations.
  • Exceptional customer service skills and the ability to provide clear, concise support and guidance to others in sometimes stressful situations.
  • Ability to interact professionally with all types of personnel, including external interfaces and executive management.
Desired Qualifications:
  • Knowledge of Laboratory's policies and procedures.
  • DOE Q Clearance and HRP Certification.
  • Ability to quickly learn and adapt to the use of LANL business systems (i.e., Oracle, UTrain, Issues Management, etc.).
Required Skills
  • Strong organizational skills to handle scheduling and logistics.
  • Attention to detail for managing electronic records and training materials.
  • Ability to multitask and coordinate training resources efficiently.
  • Strong communication skills for working with trainers and participants.
  • Process improvement mindset to help drive program improvements.
Education/Experience: Position requires an Associate's and 2 years of related experience; or, an equivalent combination of education and experience directly related to the occupation.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use waspre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
