The Business/Administrative Associate is responsible for maintaining, organizing, and carrying out the business and administrative functions of a complex clinical educational environment. The BAA works with the Associate Dean for Clinical Affairs and the unit's management team to support the financial, operational, strategic planning and HR functions of the department.

Duties & Responsibilities:

  • Oversee day-to-day administrative activities of the Office for Clinical Affairs. Coordinates the responsibilities of the Associate Dean for Clinical Affairs with internal and external offices.
  • Assists in the creation of the annual operating and capital budgets. Monitors budgets and prepares budget reconciliation throughout the year; reviews and approves expenditures, and payments. Maintain daily tracking of expenditures.
  • Prepare accounting and related reports as needed. Resolves issues related to accounting, record keeping and other activities. Research and respond to inquiries from vendors, departments and finance. Ensure products, maintenance, licenses, consulting and contracts are ordered and payments submitted.
  • Assists the Associate Dean in long range planning and setting goals for the department.
  • Oversee Human Resources activities in the office of clinical affairs. Consists of recruiting, hiring, terminating, and promoting for academic and non-academic positions; work with recruitment, conduct interviews and evaluation and processes HR transactions and departmental payroll.
  • Directs administrative services in the Office of the Associate Dean for Clinical Affairs. Establishes and implements office organization, policies and manages the Department's inventory/replacement schedule.
  • Works with the Associate Dean for Clinical Affairs to identify operational needs, problems, and plans. Reviews, updates, recommends changes in the internal operating procedures and advises faculty and staff about university and college polices and procedures to ensure compliance.
  • Train, orient, lead, mentor and update staff on new systems and programs regarding required budget documentation, human resources and general administrative issues to meet the departmental and organizational needs
  • Assists in and supervises the planning, preparation and execution of recurring and special projects at the request of the Associate Dean.
  • Originates and prepares special reports, many of which are confidential, sensitive, or deal with complex and/or controversial matters.
  • Represents the Associate Dean for Clinical Affairs on Campus/College committees and at meetings, upon request of the Associate Dean.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications Required:

    1. Bachelor's degree in business administration, management, or a field related to the position.

    2. Two (2) years of professional business, financial, and/or managerial work experience.

      (NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
    Preferred Qualifications:
    • Fluency in Spanish
    • Experience with Electronic Health Record
    • Strong interpersonal, management, organizational and communication skills
    • Ability to make decisions and negotiate sensitive issues.
    • Administrative Management Experience, preferably in a clinical environment or Dental Practice
    • Proficiency in Microsoft Office
