Administrative Manager - Education and Behavioral Sciences - Military Veterans

Reports directly to the Dean of the College of Education and Behavioral Sciences (CEBS) and is responsible for directing a range of college-level operations that includes areas such as faculty affairs, budget, facility resources, grants, staff/employee development, community outreach, and the coordination of confidential matters. The ideal candidate will be a leader who can be decisive, with a successful background in managing teams, in complex organizations, including a fluency with technology, staff development, and the ability to foresee and account for challenges that may arise.

Collaborates with the associate deans, chairs, and directors to ensure alignment with the strategic vision and the execution of key operational initiatives; serves as Dean's Office liaison to College faculty, staff, and students as well as University internal and external constituencies. Works to help develop vision and implement strategy for improved systems and operations. Supervises staff and student workers in the Dean's Office.

Required Education

  • Master's degree required. Applicants who do not meet the educational requirement of a Master's degree may substitute significant work experience in administration.

Required Experience
  • Five or more years of administrative, program management, and/or budget experience showing progressively more responsibility for program development and implementation. Prior supervisory experience of staff is a requirement.

Primary Duties/Essential Functions
  • Serves as confidential assistant to the Dean, independently representing the Dean and the College of Education and Behavioral Sciences with discernment and tact to internal and external constituencies through phone, electronic, and face-to-face communication. Oversees the Dean's schedule, appointments, correspondence, and travel. Drafts correspondence, agendas, and other writing projects as requested. Maintains professionalism and a high degree of confidentiality in all matters. May be asked to visit various Regional Campuses with or on behalf of the Dean, to coordinate programs and services for CEBS faculty and students at all locations.
  • Oversees all budgets and provides regular reports to the Dean. Works with the Operations and Academic Initiatives Strategist (for Finance and Workloads) to track workload and budget comparative data. Monitors the development of reports to the Dean for internal review, as well as coordinating requests for information for the Provost and other constituents.
  • In coordination with the Dean, strategically lead and oversee the general operations for CEBS in the areas of faculty affairs, staff development, community and professional services, and event management.

Faculty Affairs
    • Coordinates the recruiting, hiring, and orientation of full-time and adjunct faculty for the school. Includes oversight of the internal processes of collecting faculty data and related reports, onboarding, faculty workloads, and other faculty affairs.
    • Support the storage and processing of CEBS faculty, staff, and student confidential issues. Work closely with the Dean and as needed coordinate with the Office of the Provost, Human Resources, and General Counsel.

Staff Development
    • Develop a comprehensive CEBS staff development process for onboarding new hires, enhancing retention through individualized development, and updating training as new systems (technology, recruiting, etc.) are implemented in CEBS and/or the University.
    • Provide, develop, and implement an annual plan to strategically enhance, develop, and grow CEBS staff professionally including the collaboration with CEBS leadership to help facilitate the staff evaluation process.
    • Indirectly lead and advocate for the CEBS staff. Direct regular staff meetings and deliver updates and news from the Dean and CEBS leadership.

Community and Professional Services
    • Research, draft, and provide analysis for mutually beneficial collaborative agreements between Azusa Pacific University and key educational, clinical, and community organizations surrounding the Azusa and additional Regional Campus locations. Support the department placement teams on an annual basis in the negotiation, execution, and maintenance of 200+ affiliation agreements, which support student placement opportunities across all credential programs.
    • Plan and implement professional development workshops and speaker events to serve area educators as requested by the Dean and/or Associate Deans.
    • Oversee 12 scholarship funds within the School of Education. Drive all processes to award scholarships to students each Fall and Spring, including creating and releasing applications, blind review, and scoring, and working with Student Financial Services to transfer appropriate funds to student accounts.
    • Oversee the construction and distribution of a CEBS Newsletter to all faculty, adjuncts, staff, current students, alumni, and University and community stakeholders on a quarterly basis.

Event Management
    • Oversees the coordination and implementation of all events of the College, both internal and external.
    • Monthly events include staff and leadership team meetings. Annual events include: hooding events, speaker series, receptions, retreats, Kickoff events, New Student Orientations, hiring fairs, and alumni awards.
    • Develops a master calendar of events and meetings for the College, coordinating appropriate information with Associate Deans, Chairs, Program Directors, faculty, and staff, as well as various committees, task forces, and advisory boards to the College.

Additional areas of responsibility
    • Serve as support to the CEBS Leadership Team (chairs, assistant/associate deans, and dean), both for meetings and key assignments, including enrollment projections, faculty and staff hiring, programming, etc.
    • Interface with members of the Leadership Team on behalf of the Dean, with judgment of time and content-sensitive transactions, ensuring prompt and confidential responses on behalf of the Dean's Office.
    • Oversees the facilities management of Azusa offices, developing a short- and long-term plan for upkeep, usage, and renovations.

Technologies
  • Extensive software skills in Google Apps (Docs, Sheets, Drive, Gmail, Calendar, Hangouts, etc.) and Microsoft Office with proficiency in Word and Excel.

Compensation
  • Grade 12: $30.67 to $35.27 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
