The Harvard Business School (HBS) Live Online Classrooms (LOC) team supports one-of-a-kind virtual classroom that combines the case method, education technology, and live, studio-based video production to enhance and creatively advance the teaching, learning, research, and work carried out by HBS community members.?
The Program and Delivery Coordinator reports to the Associate Director, HBS Live Online Classrooms and is a member of the Learning Experience and Interactive Spaces team within HBS Information Technologies. This role is a blended position that shares responsibilities with both the HBS LOC and Learning Design & Training Services (LDTS) Teams. In the LOC capacity, this role facilitates participant enrollment in LOC sessions and collaborates with teams to optimize processes and manage logistics to ensure participant and session success. In the LDTS capacity, this role assists with training and administration, collaborates with instructional and learning designers to evaluate new technologies, and creates end-user documentation on the appropriate use of technology solutions for both academic and administrative uses. The Program and Delivery Coordinator is responsible for managing multiple workstreams with professionalism and organization. This role involves collaboration across multiple functions, including technology, support, and client relations.
The ideal candidate will be an energetic quick learner with effective interpersonal and communication skills, attention to detail, and the ability to think fast and adapt swiftly in a live production environment to ensure that sessions meet the high-quality service standards.
Responsibilities:
- Facilitate session administration and logistics to support client partners, ensure smooth operations, maintain accurate rosters and make necessary changes as per client requests
- Load and maintain all HBS LOC sessions in administrative portal and lead training for client teams on the use and functionality of the client-facing tool
- Coordinate testing and feedback cycles for administrative platform development team
- Develop and enhance program communication plans, standardize feedback collection, and maintain tracking documentation
- Provide backup support to the Program and Delivery Managers and Support Team, as well as other aspects of operations as needed
- Assist with Instructional and Learning Designer consultations with faculty and sta? on how HBS IT-supported technologies can be used to meet business needs across virtual, hybrid, and in-person modalities
- Design and create end-user documentation including eLearning, guides, and videos
- Develop and deliver individual and group instruction with sensitivity to di?ering learning styles
- Support the Instructional and Learning designers in evaluating new technologies and their ability to meet HBS community needs
- Complete other responsibilities as assigned
Basic Qualifications
- High School Diploma, GED, or equivalent is required
- 5+ years of experience in administrative support role(s) and/or related experience is required
- Education beyond high school may count toward experience
Additional Qualifications and Skills

- Ability to manage a range of challenging situations (e.g., difficult conversations with a faculty member, participant, or client) by addressing concerns, resolving problems, providing solutions, and maintaining productive and positive relationships
- Excellent written and verbal communication skills with a strong customer service orientation
- Proactive thinker with the ability to suggest solutions and manage multiple competing priorities effectively
- Ability to recognize and navigate nuanced situations and handle sensitive information with discretion
- Ability to work both independently and as a team member
- Comfort working with and coordinating testing of new technologies and processes
- Proficiency in Microsoft Office programs (Outlook, Word, Excel, PowerPoint) as well as familiarity with Windows and MacOS and common browsers
- Experience in a teaching and learning capacity or education setting ?
Working Conditions
- Additional support outside of regularly scheduled hours, including early mornings, nights, weekends, and holiday breaks may be required
- Ability to occasionally lift heavy objects up to 50 lbs?
- This is considered an ?On-Campus Critical Position?: The employee is required to report to campus to their normal work location (or an alternate site if necessary) for non-deferrable work during an emergency closure or curtailment; an employee serving in an on-campus critical position may have to report to work even if the emergency closure occurs during a time that they are not regularly scheduled to work
Additional Information
This role requires that you are onsite at our Boston, MA based campus as the role is not eligible for remote and/or hybrid work. This is a non-exempt, 40 hours/week, overtime eligible position.
