AIVO Events Coordinator (EVENTS SPEC 2)

Job Summary

This position is involved with the planning, organizing, and implementing events and functions, which may include symposiums, conferences, program events, banquets, and VIP briefings. Specific related job activities include handling logistics such as facilities, tickets, audience management activities, concessionaires, caterers, and vendors. The position is also involved with team members in the facilitation of communication and services with speakers and facility management and support staff as needed.

4 WEEK RECRUITMENT PERIOD: Applicants will be screened after two weeks; and then on a weekly basis. The position can be filled prior to the removal date.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in a related area and / or equivalent experience / training.
  • Two years coordinating events, with increasing level of complexity.
  • Working knowledge of concepts, principles and practices of event planning and production and public relations.
  • Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling.
  • Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher-level staff and / or management.

    Preferred Qualifications
  • Bachelor's or Master's degree in a STEM area plus experience with STEM events management.
  • At least one year working in a university setting.
  • At least two documentable conferences at which there were over 200 attendees.
  • Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.
  • UC Davis financial system AggieEnterprise.
  • UC Davis travel system AggieTravel.
  • Good interpersonal communication skills and political acumen, including skill in effectively representing the campus, AIFS, and AIVO to its publics.
  • Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support.
  • Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators, speakers, and dignitaries.

    Department Overview

    The AI Institute for Next Generation Food Systems (AIFS) is a department within the UC Davis Office of Research. AIFS manages numerous research grants related to AI and the food system. AIFS is also the manager of grants that support a wider group of AI Institutes (currently 27) across the US, comprising over 100 universities and several hundred faculty and student researchers. This wider group is known as the AI Institutes Virtual Organization (AIVO) and was originally and currently funded by the National Science Foundation. AIVO has recently received a grant from the non-profit arm of Google (Google.org) to support AI education and AI-based education.

    Department Specific Job Scope

    This position will initially and primarily coordinate numerous events arising from the Google.org grant. These events could include, but not be limited to, conference-adjacent workshops, expos for K-12 students, university-based educational events, and trainings for workforce. The position is also expected to work with the entire AIFS team as needed for any event.

    Work Environment
  • UC Davis is a smoke and tobacco free campus effective January 1, 2014. Smoking, the use of smokeless tobacco products, and the use of unregulated nicotine products (e-cigarettes) will be strictly prohibited on any UC Davis owned or leased property, indoors and outdoors, including parking lots and residential space.
  • 3 Days/week on-site expected on UC Davis campus at AIFS facility, with 2 days/week hybrid OK.
  • Desk space will be provided in an open work area near colleagues, with an adjustable-height desk with two monitors.
  • A UCD-owned laptop will be provided through duration of employment.
