Job Summary

Under supervision, this position will serve on the Department's Finance Team and will provide financial and analytical support for purposes of strategic financial and budgetary planning as well as other projects; intra-and extramural grant and contract preparation as the back up; submission and post-award management; and extramural accounting for day to day activities under direction of the CAO and Finance Manager. This position requires an in depth knowledge of University, campus and UCDH fiscal and accounting policies, procedures, practices and organization. As assigned, Analyst takes the lead in managing all aspects of department-wide projects and events as directed by the Chair, Chief Administrative Officer and Finance Manager. Assists with the completion of department-wide functions including the tracking of clinical revenue and expenses, metrics key to the department's clinical mission, updating reports monthly or quarterly. Finance Analyst primary functions includes: Daily Purchasing via Aggie Enterprise or P Card, Accounts Payable review, Accounts Receivable, and Travel and Entertainment expense reimbursements, posts transactions in the PPM, assists with the preparation of financial reports monthly, UCPATH/COGNOS payroll expense transactions for department's payroll posting including contracts and grants ensuring completeness, timeliness and compliance with Department, School of Medicine, and UC Policies and Procedures and Agency regulations.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's Degree in related field or equivalent demonstrated work experience
  • Demonstrated work experience in an academic environment
  • Extensive knowledge of purchasing/accounts payable and the AE financial information systems, relative to purchasing, accounts receivable and reimbursements
  • Extensive working knowledge of computers operating in a Windows environment, MS Word, MS Excel, PowerPoint, and use of the internet to search/access Information
  • Demonstrated skills to appropriately establish workload priorities and deadlines, and ability to meet critical deadlines and to ask for guidance when appropriate
  • Demonstrated experience with a high degree of professional customer service
  • Ability to Interpret and follow Department and University policies and procedures
  • Tact and diplomacy to successfully Interact with a diverse group of individuals
  • Excellent time-management skills
  • Ability to work independently and in teams
  • Detail oriented and excellent prioritization skills. Able to work on several projects concurrently.
  • Ability to effectively and efficiently work in an independent fashion in an organized and self-directed manner.
  • Ability to readily adapt to change.
  • Ability to analyze problems, suggest solutions, make decisions, and initiate resolutions actions for the effective management of the purchasing, accounts payable, and accounts receivable activities in the Department.
  • Ability to learn new systems, procedures, and procedures.

Preferred Qualifications
  • Bachelor's degree in related field for business administration or finance
  • Familiarity with an academic work environment
  • Familiarity with Aggie Enterprise or Oracle based financial systems
  • Working knowledge of UC Davis Finance and Business Systems (Aggie Enterprise, Aggie Expense.
  • Strong planning, analytical and communication skills to anticipate challenges and analyze problems, implement financial controls and compliance, recognize financial discrepancies, work with others to implement corrections, resolve issues and offer innovative solutions.
  • Excellent interpersonal and communication skills, both verbal and written, to understand and appropriately respond to multiple and frequent inquiries, requests and instructions in a courteous, cooperative and professional manner.
  • Tact, diplomacy and flexibility to effectively deal with faculty, staff, agencies and others.
  • Ability to represent the Department in a professional manner.
  • Ability to establish and maintain filing systems, databases and spreadsheets.
  • Must be able to coordinate and organize a high volume of record files efficiently.
  • Ability to analyze data and update reports.

Department Overview

Medical Microbiology and Immunology is a basic science department in the School of Medicine and is extensively involved in training of graduate students and postdoctoral fellows in a variety of biomedical disciplines and conducting basic research in infectious diseases and host pathogen interactions. This department serves approximately 140 employees including 22 faculty, staff, professional researchers, other academics and students.
