JOB SUMMARY Under general direction from the Center Director, the Operations Manager oversees the daily operations and logistics of Saint Louis University's Workforce Center, which provides premier, on-line technology training services to organizations nationwide. This position develops and implements policies and procedures, and prepares reports and analysis regarding the Center's productivity. This position supervises a team and helps scale the Center to expand services and increase revenue. Additionally, the Operations Manager works closely with both operations and sales staff to ensure seamless workflows and functionality. PRIMARY JOB RESPONSIBILITIES Manages daily operations and logistics of the Center including overseeing business practices and procedures, workflows, tools and policies; provides guidance with troubleshooting for both systems and staff; assists with the development and management of business plans and contracts; assesses services to determine customer and client needs; researches and establishes improvements to ensure excellent customer service and experience. Manages departmental financial accounts including overseeing purchasing, billing and accounting activities; processes and approves requisitions and invoices; reconciles accounts for deposits/receipts; assists clients and corporate sponsors with billing and payment issues; invoices and collects payments. Monitors, analyzes and forecasts revenue and expenditures; designs, analyzes and prepares ad hoc financial reports; ensures reconciliation of revenues and invoices; prepares and analyzes invoice, payment, and accounts receivable reports on a weekly, monthly, quarterly and annual basis. Provides leadership to assigned staff, student workers or consultants by setting goals, assigning tasks, managing work schedules and workloads and evaluating performance; works with external vendors and independent contractors to accomplish projects on time and within budget. Implements and fine-tunes workflows; understands and troubleshoots integrations and increases efficiency within systems. Trains and upskills staff in the use of software applications. Performs other duties as assigned. KNOWLEDGE, SKILLS, AND ABILITIES Well-versed in a variety of software applications, including a full line of business and student tools Knowledge of business, budget, and financial processes, and practices for small business. Strong proficiency in use of software systems including a Customer Relationship Management (CRM) system like Salesforce; familiarity with building out and fine-tuning workflows in a CRM Strong verbal and written communication skills. Planning and organizational skills within the context of a small business or small department work environment. Research and analytical skills. Interpersonal and supervisory skills. Ability to function independently with appropriate initiative, creativity, and attention to detail. MINIMUM QUALIFICATIONS Bachelors degree; supplemented with at least three (3) years of related work experience.
