The Facilities department is excited to welcome a Facilities Operations Manager to our team! In this role, you will oversee a team of Facilities Specialists to support thirteen buildings (about 250k square feet), all of which house world-class teaching and research facilities and some of which date back to Stanford's earliest years. This position is vital to streamlining operations, enhancing productivity, and upholding our department's high standards of service while developing leadership for the future of the Facilities department. You will get to work with faculty, students and staff in the Mechanical Engineering, Aeronautics/Astronautics, and Materials Science Engineering departments to enable their cutting edge research. This role is newly established and we seek to fill it with a person eager to create a high-performing group. Operational needs dictate that this facilities-related role is an on-site position on Stanford's historic and beautiful, park-like campus.

In this role, you will:

    • Oversee the daily operation and management of assigned facilities and programs, including scheduling and assigning work to staff and coordinating with staff, subcontractors, and/or vendors; coaching lower level managerial staff; overseeing staffing and performance evaluation of assigned staff; contributing to department or division staffing needs forecast.
    • Clarify and resolve problems spanning multiple areas or technical fields and/or oversee or develop programs within assigned facilities.
    • Manage and/or develop budget for area of responsibility, including staffing, maintenance, contracts, etc.
    • Manage ongoing service contracts as applicable.
    • Participate in department/unit strategic management, including making recommendations involving short-term planning for facility-type projects and for longer-range programs/projects; providing input into long-range financial, budgeting, and programmatic planning and development; providing input into the development of policies and procedures; interpret and manage policies and procedures for assigned area.
    • Oversee and/or monitor project activities; ensure integration with larger unit goals; coordinate with staff, subcontractors, and/or vendors.
    • Develop assessment and information tracking systems as needed and analyze data to determine trends and drive continuous improvement.
    • Implement mitigation or proactive measures as appropriate.
    • Perform condition assessments on appearance, equipment, or function of space. Troubleshoot, analyze results, and provide recommendations. Identify, recommend & implement building operations & process modifications to the facility for increased productivity and/or cost reduction, coordinate maintenance logistics (to avoid faculty conflicts, events, etc.).
    • Serve as property operations / maintenance point of contact for facilities' issues in complex facilities as defined above; initiate work requests, monitor completion; manage maintenance and renovations budget; coordinate and monitor routine maintenance services completion (trash, utilities, custodial, pest control, long term preservation, inspections, grounds, landscapes, alarms, systems & equipment), suggest metrics, monitor and report related trends.
    • Understand and oversee property administration.
    • Implement facility security programs by developing procedures/practices, monitoring access records, assessing security infrastructure needs (security cameras, interlocks, alarms); and assessing and changing access programming.
    • Complete project coordination by: working with stakeholders to scope projects; acting as a project coordinator/liaison; and overseeing and executing projects including their organization, scheduling, contracting, budgeting, and implementation.
    • Responsible for building compliance with fire and life safety code. Understand basic safety requirements for laboratories and work closely with health and safety staff. Maintain and participate in emergency preparedness, recovery, and business continuity activities.
    • Participate in space management and planning activities including: move coordination; space inventory; space allocation tracking; specifying set-ups; maximizing space utilization; providing input into facilities renewal model; and contributing to long range planning.


Knowledge, Skills, & Abilities (Required):
    • Knowledge of environmental and safety rules, regulations, and policies. Ability to conduct job site inspections to ensure compliance.
    • Demonstrated ability to work and communicate effectively with others.
    • Demonstrated experience managing service contracts.
    • Demonstrated experience developing and managing budgets.
    • Demonstrated experience planning, developing, and implementing programs.
    • Ability to interpret planning specifications, documents, working drawings, and related reports.


Education & Experience (Required):
    • Bachelor's degree in engineering or other appropriate technical area, or combination of technical education, training, and experience. Two or more years of experience managing facilities operations and maintenance staff in an environment with a variety of building types (administrative offices, classrooms, laboratories, residential & dining facilities, auditoriums, etc.).


Education & Experience (Desired):
    • Graduate degree in related discipline.
    • CFM, PMP or other certification related to facilities management.


Working Conditions:
    • Requires 24-hour response availability seven days per week for emergency situations.
    • May be exposed to noise > 80dB TWA.
    • May working at heights 4 - 10 ft.


Physical Requirements:
    • Frequently sitting, perform desk-based computer tasks, lift/carry/push/pull objects that weigh up to 10 pounds.
    • Occasionally stand/walk, twist/bend/stoop/squat, grasp lightly/fine manipulation, use a telephone, lift/carry/push/pull objects that weigh up to 11-20 pounds.
    • Rarely kneel/crawl, climb (ladders, scaffolds, or other), reach/work above shoulders, grasp forcefully, writing by hand, sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.

Pay Range:
The expected pay range for this position is $143,719 to $173,095 per annum.
