Position Title: Senior Executive Secretary, Grade D School/Division: Hofstra College of Liberal Arts and Sciences-Humanties Full Time/Part Time: Full-Time Description: Reporting to the Chair of the English Department, the Senior Executive Secretary provides secretarial support to the Chairperson and full-time and part-time faculty. Responsibilities include, but are not limited to: Assists with the day-to-day office operations of the department including answering phones, answering emails, maintaining calendars and distributing mail. Prepares documents for faculty appointments, reappointments, promotion, tenure, retirement, and leaves. Assists Chairperson with audit and master schedules. Provides support to the Department Personnel Committee as needed. Makes travel arrangements for job candidates in faculty searches. Prepares and distributes meeting materials including agendas, minutes, and attachments. Maintains department records, including personnel files, course syllabi, and runs major and minor reports as needed. Initiates banner requests including registration overrides and workflows to make changes to the course schedule. Processes purchase orders, invoices, one-time payments, check requisitions, curriculum, and standard proposal requests, and contracts. Orders office supplies and instructional materials. Assists with department event planning as needed. Assists with coordination for annual English Department creative writing contests. May perform other duties not specifically identified above, but which require the same degree of skills, and which are normally included with the above job title. Hours: Monday through Friday 9am to 5pm. Subject to bumping Qualifications: Proficiency with Microsoft Office, specifically with Word, Excel, and Outlook required. Ability to handle confidential and sensitive information with discretion. Possess outstanding communication and problem-solving skills. Must be detail-oriented with excellent organizational and interpersonal skills. Must demonstrate the ability to multi-task and work as a team player. Preferred Qualifications: Proficiency with Ellucian Banner preferred.
