JOB SUMMARY
The Associate Registrar of Academic Records is an archivist role responsible for overseeing the physical and digital assets of academic records at the university. This position involves managing the preservation, organization, and accessibility of academic records in accordance with the university's responsibility as an institutional custodian of record. Additionally, the role requires partnering with other unit members and partner academic institutions to ensure the safe handling and transition of academic records, securing the university's role in freezing, digitizing, and handling physical record assets across the global university network.

This job requires occasional on-groundwork in storage areas or handling physical records. It may require occasional travel to regional campus or partner institutions for records transfer and digitization.

MINIMUM QUALIFICATIONS

  • Bachelor's degree, with coursework or graduate coursework in Library Science, Archival Studies, or a related field.
  • Minimum of 5 years of experience in archival management, preferably within an academic or records management setting.
  • Demonstrated knowledge of archival standards, practices, and technologies.
  • Experience with digital asset management and digital preservation strategies.
  • Strong organizational, analytical, and project management skills.
  • Excellent communication and collaboration abilities.
  • Familiarity with legal, privacy, and regulatory requirements related to academic records management.
  • Certification from a recognized archival organization (e.g., Certified Archivist) is recommended but not required.


KEY RESPONSIBILITIES & ACCOUNTABILITIES

1)

Archival Management 40%:
  • Oversee the acquisition, cataloging, preservation, and accessibility of physical and digital academic records.
  • Develop and implement archival policies and procedures in line with best practices and university standards.
  • Ensure the proper storage, conservation, and restoration of academic records and related materials.
  • Provide reference services to the Student Services team to handle inquiries on accessing legacy student records.


2)

Data Custodianship 25%:
  • Enforce the role of data custodian for academic records transferred from partner and sending institutions.
  • Ensure compliance with legal, regulatory, and university policies related to data privacy and record-keeping.
  • Oversee the secure destruction of records that have met their document retention requirements.


3)

Digital Asset Management 20%:
  • Manage digital archives, ensuring the integrity, security, and accessibility of electronic records.
  • Implement and maintain digital preservation strategies, including migration, emulation, and format conversion.
  • Utilize digital asset management systems to organize and retrieve digital records efficiently.


4)

Collaboration and Partnership 15%:
  • Serve as point of contact for unit staff, academic leadership, and external partners to identify and acquire significant academic records in alignment with custodian of record responsibilities.
  • Work with merging academic institutions to facilitate the seamless transfer of academic records in accordance with state, federal, and sending institution requirements.
  • Coordinate with IT and other departments to ensure the safe handling and migration of digital records.
