Summary:
Under the guidance of the Inventory Data Specialist Lead, the Inventory Data Specialist ensures the accuracy and integrity of inventory records by monitoring, adjusting, and resolving discrepancies. This role involves processing and managing paperwork for all warehouse locations across a variety of commodity types. Key responsibilities include maintaining efficient and accurate database operations for receiving, transferring, issuing, and managing National Science Foundation (NSF) materials. The Inventory Data Specialist also delivers exceptional customer service to both internal and external clients.
Position Responsibilities:
- Prioritizes safety and ensures adherence to workplace safety standards.
- Adheres to Environmental, Safety and Health (ESH), Waste Management, and Quality Assurance policies, goals, and procedures.
- Processes inventory transactions efficiently to maintain accurate and up-to-date materials records, including but not limited to issues, returns, inventory adjustments, location changes, price changes, item descriptions, record consolidations, retirements, and other related information updates.
- Reviews and corrects inventory records as needed to ensure alignment with formatting and content standards for the materials management system.
- Gains familiarity with the basic operations of systems such as financial, maintenance management, equipment and capital property management, purchasing, and cargo tracking, and understands their relationships with the materials management system. Uses this knowledge to support daily activities and assist customers and staff.
- Assists with inventory quality assurance audits as directed.
- Contributes to Logistics Division metrics as specified by the Supervisor.
- Cross-trains with other departments within Transportation and Logistics, which may include operating heavy equipment and oversized tundra vehicles.
- Trains in vessel offload procedures and processes. May be assigned to various roles or shifts in a 24-hr period during vessel offload or other special operations while deployed.
- Completes annual training in light vehicle operation, forklift use, and inventory management systems during deployment.
- Assists with runway operations during seasonal transitions and ongoing winter flights.
- Performs other duties as assigned by Supply department management, including outdoor work in varying temperatures.
- High School diploma or GED.
- Minimum of two years' experience in inventory materials management, database management, warehousing, purchasing, cargo/transportation, work order management, or supply chain logistics.
- Alternatively, a minimum of one season of experience working in the Transportation and Logistics (T&L) department or related areas in Antarctica.
- Microsoft Office Suite Proficiency: Intermediate skills, particularly in Excel, Word, and PowerPoint.
- Operations Systems: Proficient in navigating and operating ERP systems to perform material research, data input, and corrections, ensuring accuracy and efficiency in daily operations.
- Analytical and Organizational Skills: Strong ability to analyze data, organize tasks, and manage time effectively.
- Customer Service: Excellent interpersonal and customer service skills, with a focus on collaboration and communication.
- Attention to Detail: High attention to detail with a strong aptitude for solving complex problems.
- Self-Motivated and Accountable: Ability to work independently, make informed decisions, and take accountability with minimal supervision.
- Creative Thinking: Demonstrates originality and innovation when developing solutions and creating new documentation.
- Business Communication: Ability to write, speak, and present information clearly and effectively across various settings, tailoring communication style to suit different audiences.
- Conflict Management: Sees conflict as an opportunity to find common ground and encourages cooperation from all parties, with strong listening and problem-solving skills.
Preferred:
- Bachelor's degree.
- Working knowledge of materials movement, purchasing, inventory, and hazardous materials.
- Advanced skills in Microsoft Excel, Word, and PowerPoint.
- IBM Maximo experience.
- Previous deployment to Antarctica.
- Experience with remote site logistics is highly desirable; experience with polar logistics operations is preferred.
Physical and/or Other Requirements:
- Willingness and ability to deploy to Antarctica for extended periods.
- Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica.
- Successful completion of drug screening and background check required by employer.
- Successful completion of Federal Background Check required by the NSF.
- Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.
- Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.
- Must participate in community programs, such as "house-mouse" (chores), "daisy-picking" (cleaning-up around the station), recycling efforts & safety objectives.
- Valid Driver's License issued in the United States.
- Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
