Department Summary The UCLA Latino Policy & Politics Institute (LPPI) seeks a dynamic professional to serve as our Staff and Student Services Manager (SSSM). LPPI leverages UCLA's cross-disciplinary strengths to create an enterprise-wide home for Latino social policy with expertise in over a dozen issues, including civil rights, criminal justice, educational equity, health access, housing, and voting and civic participation. Position Summary Under the direction of the Deputy Director, the SSSM will manage the organization's workflow and programs by overseeing day-to-day hiring and professional development operations. The incumbent will take primary responsibility for developing and implementing personnel processes for student and staff hiring that streamline daily operations by UC policies and procedures. This includes management and human resources procedures, including hiring and off-boarding, accounts payable, and accounts receivable for payments to vendors, consultants, and staff as needed. Based on their needs, the incumbent will meet with staff and students on a case-by-case basis. The incumbent will communicate with Luskin's School's Human Resources office on personnel issues, complete personnel paperwork for new hires and appointment changes, keep detailed HR records, triage any student and academic matters, and liaise to provide campus resource referrals. The incumbent will also provide campus coordination liaising with UCLA Division of Graduate Education, UCLA Luskin student service units, UCLA Office of Financial Aid, and UCLA HSI Initiative engagement and will provide guidance and oversee the student recruitment and selection processes for the Institute's Policy Fellowship program. The SSSM will also assist in tracking and updating contracts for current staff and student employees alongside Luskin HR. The incumbent will manage and ensure the pay of employees is up to date. The incumbent will also keep records for request time off and leave coverage plans and connect staff to Luskin HR for leave and benefits questions. The incumbent will execute and manage staff training, retreat agendas, and any required training by the direction provided by the LPPI leadership. A successful candidate will need to blend flexibility with disciplined execution, attention to detail, and diplomacy to anticipate and resolve challenges that occur within an established university hierarchy. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications At least five years of professional experience supporting a C-level executive, preferably in a government, political or university office. (Required) Skill in leadership as demonstrated by exercising mature judgment in independent decision-making and exercising initiative and creativity in implementing departmental and university policies and procedures. (Required) Oral communication skills to convey information clearly and accurately to faculty, students, staff, the public, campus service departments, and outside vendors. (Required) Ability to multi-task, triage work priorities, and adhere to organizational expectation of accuracy and attention to detail in a dynamic environment with competing needs. (Required) Highly organized with strong skills in using project management tools to compile information in the most efficient and informative, manage project tasks, and track progress and information. (Required) Ability to make high level observations while being mindful of the details under stringent time constraint (Required) Ability to exercise a high degree of diplomacy, confidentiality, and professionalism in interactions both internally and externally. Ability to work with people from a variety of backgrounds and cultures that elicits professionalism. (Required) Skill in interacting diplomatically with faculty, staff, students, and administrative offices, assuring confidentiality of sensitive documents, communicating established policies, and recommending changes when appropriate, with an ability to maintain equanimity during exchanges of ideas, information (Required) Supervisory skills to hire, train, and evaluate performance of assigned workers and to elicit a high degree of professionalism from them. (Required) Detailed knowledge of university administrative policies and procedures as well as departmental, academic, and administrative structures and of offices conducting business pertinent to education. (Required) Knowledge of University systems BruinBuy Plus, QDB, Concur, UCPath, Procurement card use in order to monitor eDetailed knowledge of university administrative policies and procedures as well as departmental, expenditures, place orders, verify payments, verify salary levels, and project expenses.
