Position Summary: The Passenger Services Supervisor oversees and manages all aspects of passenger operations at McMurdo Station, Antarctica. This role ensures the smooth coordination of passenger movements between McMurdo, Christchurch (NZ), South Pole Station, and field camps. Responsibilities include supervising passenger services staff, managing flight manifests, coordinating with internal and external stakeholders, and maintaining compliance with safety and operational protocols. This position requires strong leadership, organizational, and communication skills, along with the ability to adapt to the unique challenges of working in a remote and extreme environment.
Position Responsibilities:
- Oversee all aspects of passenger operations, including manifesting passengers, sharing flight movement information, checking passengers in for flights, and coordinating transportation.
- Train Passenger Services Representatives on passenger processing and advanced Pipeline software use.
- Supervise and evaluate employee performance throughout the season, including end-of-season evaluations.
- Manage passenger manifesting for flights between McMurdo, Christchurch (NZ), South Pole Station, and field camps.
- Coordinate passenger prioritization and numbers with the ATO Manager & MCC Supervisor.
- Collaborate with South Pole Station management on passenger movements.
- Troubleshoot manifest and transport issues with USAP and AntNZ personnel.
- Communicate professionally with NSF, military, and other agency officials.
- Coordinate medevac passenger flight requirements with USAF and medical personnel.
- Support Distinguished Visitor schedules and transport coordination.
- Ensure redeployment of ASC, military, NSF, grantee, and agency personnel (~1,300 people per season).
- Facilitate redeployment meetings for ASC personnel.
- Oversee accurate and timely distribution of Advanced Passenger Advisory and Departure/Return Message emails.
- Maintain daily coordination with Christchurch Travel Office for travel updates.
- Coordinate passenger transport with Shuttles Supervisor.
- Serve as McMurdo POC for Pipeline software issues.
- Handle confidential matters in line with ASC policy.
- Communicate professionally with team members through meetings, appraisals, and safety briefings.
- Follow proper two-way radio communication protocols.
- Update and review departmental procedures.
- Ensure safety remains the highest priority in all operations.
- Perform other duties as required.
- High School Diploma or GED.
- Minimum of four years of administrative experience, preferably in Antarctic Terminal Operations or a comparable role.
- At least one year of supervisory experience.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong teamwork and communication skills.
- Bachelor's degree.
- Proficiency with transportation databases for passenger tracking.
- Ability to deploy to Antarctica for extended periods.
- Successful completion of medical and dental examinations as required by NSF.
- Successful completion of drug screening and background checks.
- Must lift and move items up to the safety regulation maximum.
- Ability to perform physical tasks, including climbing, crawling, and working in extreme cold.
- Participation in community programs (e.g., chores, cleaning, recycling, safety initiatives).
- Valid U.S. Driver's License.
- Must obtain and maintain facility credentials (U.S. Citizenship required).
