Summary
The Office of Conferences and Events at Washington & Jefferson College is seeking a qualified candidate for the position of Assistant Director of Conferences & Events. This position will assist the Director of Conferences and Events with both internal and external events with an emphasis on summer camps and the colleges Baccalaureate, Commencement and Matriculation Ceremonies. They will work closely with other departments on campus including facility services, residence life, catering and information and technology services, to assure that the college's guests needs are met in a timely and efficient manner. The position requires availability to work during evenings, and weekends, as required by business needs.
Duties and Responsibilities
Works with the Director of Conferences & Events to ensure that logistical details are confirmed with W&J clients and communicated to campus partners in a timely manner.
Assist the Director of Conferences & Events with conference and camp This will include actively following up with leads and inquiries for outside group sales.
Facilitates execution of all contracted activities and handles any issues experienced by W&J guests while on campus.
Assists with directing student workers.
Communicates all event details and changes to the various departments assisting with events and camps.
Maintain daily contact with summer camp contacts to check on any possible needs or problems.
Provides prompt, professional assistance, and outstanding customer service during all phases of event planning and execution.
Proactively addresses and finds creative solutions for any client issues that arise.
This position works with the facilities team to assure that facility spaces including residence halls and athletic facilities have high standards of cleanliness.
Assist the Director of Conferences & Events with contracts and client invoices.
Qualifications
Bachelor's degree in related field.
A minimum of two years outside sales experience in the hospitality field.
Two to three years' experience with coordinating events, preferably in college environment.
Supervisory Duties
This position will assist with training and directing student workers.
