The Program Coordinator (Assistant Director of Faculty Reviews) works closely with the Assistant Vice Provost for Faculty Affairs on the administration of a variety of faculty review programs involving faculty promotion and tenure (P&T), appointments, exit and retention surveys, policies, procedures, and guidelines. In coordination with the Assistant Vice Provost, the Program Coordinator is responsible for managing the university review processes for promotion and tenure, mid-probationary, senior-rank promotion, annual evaluation, and exit and retention surveys, as well as, assisting with the infrastructure management related to these processes, and processes related to faculty appointments.

Duties & Responsibilities:

  • Manage the university promotion and tenure review process, including mid-probationary reviews and senior rank promotions, as directed by the Assistant Vice Provost for Faculty Affairs. This includes but is not limited to: the coordination and management of the university level reviews and related activities, auditing of required materials, preparing and distributing official communications, managing technology and web-based resources for these processes, maintenance of records, databases, analyses, reporting outcomes and demographics, and the maintenance of policy, procedural and process guideline documents.
  • Communicate various deadlines, requirements, activities, and compliance issues with points of contact, faculty, administrators, and relevant university units to ensure successful completion of the review processes. Serve as the point of contact for any questions that may arise from faculty, administrators, and staff.
  • Coordinate and maintain the compliance and records of the Annual Evaluation of Faculty process; in collaboration with the Provost's office and Assistant Vice Provost for Faculty Affairs, assist with dean 5-year reviews.
  • Assist with the maintenance and development of electronic forms, databases, and other technology-based initiatives for continuous process improvement, effectiveness, and efficiency as well as the maintenance of the online UIC Faculty Handbook, UIC Faculty Policies and Procedures, and other resource materials.
  • As a part of the unit's records and information management, collaborate with Faculty Affairs professional staff in the review of historical faculty appointment related documents including but not limited to Board of Trustees appointment approvals, promotion and tenure, and agreements; may verify scanned documents for accuracy and compliance with records retention guidelines. Collaborate with other Faculty Affairs teams as needed.
  • Perform other related duties and tasks as assigned.


  • Minimum Qualifications Required:

    1. Bachelor's degree.
    2. A total of one (1) year (12 months) of demonstrated experience with faculty programs and faculty policy application and interpretation. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)


    Preferred Qualifications:
    • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
    • Skill in analyzing information and evaluating results to choose the best solution and solve problems.
    • Skill in scheduling events, programs, and activities, as well as the work of others.
    • Skill in utilizing organization, time management, and technology, and in effectively managing multiple priorities on a daily basis.
    • Strong/excellent working knowledge and familiarity with Microsoft Suite products, most importantly, Word, Excel, Outlook, Teams, etc.
    • Strong/excellent communication (verbal and written) and interpersonal skills to effectively present information including writing and editing reports and other materials and to respond to requests for guidance and/or clarification.
    • Familiarity with Banner, Business Objects report development and analysis
    • Able to handle difficult/complex situations and highly sensitive/confidential material
    • Ability to adjust actions in relation to others' actions.
    • Ability to listen to and understand information and ideas presented through spoken words and sentences.
    • Ability to apply general rules to specific problems to produce answers that make sense.
    • Ability to develop goals and plans to prioritize, organize, and accomplish work.
    • Ability to work effectively with staff, the public, and outside constituency groups.
    • Ability to effectively plan, delegate, and supervise the work of others.
    • Ability to utilize various computer software packages, such as Accounting Software, query, etc.
    • Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems.
    • Ability to analyze and develop guidelines, procedures and systems.
