Job Purpose: Performs complete administrative support activities in the office for legal staff; prepares, processes, and maintains legal documents and records in paper and election form
Job Duties:
-General Attorney Assistance - Provides general administrative assistance and support to assigned attorneys in the performance of legal functions. Monitors and advises attorney of correspondence and legal documents received, deadlines, pending responses to court filings, and pending responses to internal and external correspondence. Monitors case status maintains current caseload information and regularly communicates with assigned attorneys on status of litigation and non-litigation matters. Performs minor legal research as requested by attorney. Answers telephone calls, take messages, coordinates meetings, and maintains calendar as requested by assigned attorney.
-File Maintenance - Responsible for opening, setting up, maintaining, and closing, with attorney approval, litigation, and non-litigation files. Responsible for ensuring closed files are archived or disposed pursuant to applicable retention schedules. Maintains files in an organized manner and pursuant to established file protocols. Organizes and maintains documents in paper and electronic filing systems.
-Document Preparation, Filing, and Service - Prepares draft templates for routine legal documents including briefs, correspondence, opinions, pleadings, and related forms. Prepares initial drafts of routine legal documents and correspondence. Proofs all legal documents and papers for accuracy and grammatical correctness. Finalizes documents in proper format. Transmits information and correspondence to proper parties and ensures legal documents are properly served and filed for administrative and court proceedings. Maintains knowledge of current formats of legal forms and related legal procedures including, but not limited to electronic filing procedures. Assembles complex documentation for submittal to State and Federal courts and other tribunals.
Proceeding/Meeting Scheduling and Preparation - Coordinates and tracks adjudicatory hearings and proceedings. Acquires and assembles background documents. Obtains information pertaining to parties and witnesses. Coordinates proceedings/meetings between attorneys, hearing officers, court clerks, Board clerk, court reporters, program staff and witnesses. Ensures proper and timely notification of hearings and proceedings to all parties. Assists with coordination of exhibits and with proceedings/meetings as requested.
-General Office Support - Answer's telephone, retrieves and distributes mail, assists visitors/program client, and provides other administrative support.
Knowledge/Skills:
-Knowledge of law office operations, legal procedures and word processing skills
-Good Organizational skills
-ability to plan and organize/prioritize work activities to ensure meeting schedules and deadlines
-Effective communication both orally and in written
