Sr. EA to CCO & Regional President - Military Veterans

The Executive Assistant to the President-North America & CCO will provide high-level administrative support. This role requires a proactive, detail-oriented professional capable of handling a wide range of administrative and executive tasks with discretion, confidentiality, and efficiency.

Making an Impact
• Executive Support:
o Proactively anticipate executives needs based on schedule, priorities, travel and projects
o Manage the executive's calendar, schedule meetings, and arrange global travel plans, ensuring optimal time management and efficient organization with the utmost care and precision.
o Act as the point of contact between executive and internal/external stakeholders, prioritizing and responding to communications on their behalf.
o Prepare and organize materials for meetings, including agendas, presentations, and reports.
o Handle confidential and sensitive information with discretion.
o Act as gatekeeper for the executive's time and attention intuitively know what needs prioritization and when to say no to certain requests

• Communication & Coordination:
o Prepare briefings and reports for board meetings and other high-level discussions
o Coordinate with other C-level executives and their executive assistants
o Liaise with key internal and external stakeholders to ensure effective communication and coordination across departments and teams.
o Draft and edit correspondence, reports, and other documents as requested by executive.
o Organize and coordinate meetings, conferences, and events, ensuring all logistics are executed seamlessly.
o Represent the executive in certain meetings and communications
o Contact Management, helping the executive know as much as possible about a contact to give context to communication and meetings
o Support executive with presentation/deck creation

• Project Management & Administration:
o Assist with special projects as directed by C-suite executives, managing timelines, deliverables, and stakeholder communication.
o Conduct research and provide insights to executives to support decision-making processes.

• Travel & Logistics:
o Coordinate complex global travel arrangements, including flight bookings, accommodations, itineraries, and ground transportation for executive.
o Prepare travel reports and ensure cost-efficient solutions for travel expenses.
o Have a deep understanding of cultural dynamics depending on the country the executive is in and adjust meetings, communications and interactions as necessary.

Your Typical Day and Other Key Details
There is no typical day as each constantly revolves around what the executive's needs, and new situations/critical issues arise. Basic items must be attended to (calendaring/travel/expenses/standing meetings) but plans on any given any day can be tossed aside depending on what is occurring in the world.

Qualifications

Required
• Experience: Minimum of 5-7 years of experience supporting C-suite executive in a fast-paced corporate environment.
• Experience: Managing executive travel on a global scale.
• Education: Bachelor's degree preferred or equivalent experience in a relevant field.

Skills:
o Exceptional organizational, time-management, and multitasking abilities.
o Strong written and verbal communication skills, with attention to detail.
o Ability to handle sensitive information with confidentiality and discretion.
o Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), as well as familiarity with project management tools.
o Excellent problem-solving and critical-thinking skills.
o Ability to work independently and manage competing priorities.

Personal Attributes:
• Discretion handling sensitive materials and information, some that could have significant legal or operational impact if mishandled.
• Organization handling the incredibly complicated schedule of a C-level executive which means planning travel, meetings and weaving all into the rest of the daily schedule of duties.
• Stress management in a fast-paced environment. Being able to handle the stress that is necessary in order to meet deadlines and ensure the executive has everything necessary when needed to do their job at a high level of effectiveness.
• Self - motivated to learn to know what the executive wants before they know it at times, spotting problems that need solving before being told.
• Business sense to make decisions that are high-level and have a good sense of the priorities and preferences of their executive. Strong understanding of corporate governance and expectations at the C-suite level, providing strategic support to their executive.
• Adaptability to a changing landscape being able to quickly adjust travel plans, meeting changes and information needed with urgency.
