Project Administrator - Military Veterans

Our client is looking to hire a Project Administrator. This position plays a key role in supporting the management and execution of construction projects. This position involves handling administrative tasks, coordinating project documentation, and ensuring that the project runs smoothly from initiation to completion. The project admin works closely with the project manager, construction teams, subcontractors, suppliers, and clients.

Key Responsibilities:

Document Management:
Maintain and organize all project documentation, including contracts, blueprints, schedules, permits, change orders, and invoices.
Ensure proper filing, both physically and digitally, for easy retrieval.
Update project files and manage any revisions or amendments to documents.

Scheduling Support:
Assist in creating and updating project schedules.
Coordinate meetings and follow-ups to ensure that deadlines are met.
Track milestones and report project progress to the project manager.

Budget and Financial Tracking:
Monitor project costs, including tracking expenditures, processing invoices, and preparing financial reports.
Assist in budgeting and ensure the project stays within financial guidelines.
Handle procurement and purchase orders for necessary materials and supplies.

Coordination and Communication:
Act as a liaison between the project manager, contractors, subcontractors, suppliers, and clients.
Communicate any changes, delays, or issues that arise during the course of the project.
Schedule and organize meetings for stakeholders, including contractors, clients, and team members.

Compliance and Safety:
Ensure that all permits, insurance, and certifications are up to date.
Monitor compliance with construction safety standards and regulations.
Assist in the preparation and submission of required reports to regulatory bodies.

Procurement and Logistics:
Help with the ordering of materials and equipment.
Coordinate delivery schedules and confirm materials arrive on time.
Manage inventory of materials and supplies needed for the construction project.

Subcontractor Management:
Assist with the onboarding of subcontractors, ensuring proper documentation and contracts are in place.
Track subcontractor progress and ensure work is being completed as per schedule.
Help resolve any issues or disputes between subcontractors and the project team.

Problem-Solving and Issue Resolution:
Address any administrative challenges that may arise during the project lifecycle.
Help identify potential risks or delays and support the project manager in resolving them.

Skills Required:
Organization: Ability to manage multiple tasks simultaneously while keeping documentation and schedules organized.
Attention to Detail: Ensuring accuracy in all paperwork and communications, especially when dealing with contracts, budgets, and schedules.
Communication: Strong verbal and written communication skills to interact effectively with clients, contractors, and internal teams.
Time Management: Ability to prioritize tasks and manage time effectively to meet deadlines.
Problem-Solving: Capable of identifying issues early and coming up with solutions to keep the project on track.
Technical Skills: Proficiency with project management software, MS Office (especially Excel), and possibly construction management tools.
Knowledge of Construction Terminology and Processes: Familiarity with the construction industry and its procedures is beneficial.
