Department/Division: Obstetrics and Gynecology/Academic Office Job Profile Name: Administrative Assistant 3 Function : Business Planning and Operations Function Description: Business Planning and Operations is responsible for the strategic planning, analysis and ongoing operations of colleges and units. Reporting and analytics support is provided to inform strategic planning and business operations; project management support is provided as a means of executing on the strategic plan. Additionally, administrative assistance and office services provides administrative support to executives, managers, and departments such as clerical support, office, mail and copy center services. Job Description: Provides administrative support to all divisions within the Department of Obstetrics and Gynecology along with the Department Administrator and Women and Infants initiatives, Assists with recruitment efforts for each division; Coordinates and maintains academic, professional and clinical calendars as needed and directed; Prepares and distributes correspondence, including departmental announcements send on behalf of leadership; Schedules meetings with internal and external contacts; Makes travel arrangements for conferences and special meetings; Creates invoices and assists with reimbursements in Workday; Places departmental supply orders; Assists with dossiers and tracking educational activities and CME tracking for fiscal compliance; Coordinates special division functions and events; Oversees faculty appointments for internal and external faculty in coordination with education team; Maintains credentialing records and assists with this process for the entire department in partnership with Division Directors and Department Administrator; Serves as a back up to Academic Operations Manager; Manages student worker(s) schedule and projects; Other Duties as assigned. Minimum Requirements: High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred. Compensation: $21.11 - $27.77 - $34.42 USD Hourly Compensation will be based on experience of the candidate. Job Family: Classified Civil Service
