Job Description Summary
Ryan Hospital is seeking a skilled Small Animal Surgery Clinic Coordinator who will utilize clinical knowledge in veterinary medicine to manage coordination of soft tissue and orthopedic clinic and surgery schedules (booking appointments and surgeries). Key responsibilities include obtaining and organizing medical records and referral documents, screening initial appointments for suitability, and collaborating with service nurses to create and release clinic schedules two months in advance. The position also requires confirming appointments, managing waitlists, ensuring pre-operative testing is completed, and facilitating daily procedure requests. Additionally, the role supports communication with referring veterinarians and pet owners, handles consultation calls, and schedules recheck appointments.
Job Description
Job Responsibilities
- Responsible for the coordination of soft tissue and orthopedic clinic and surgery schedules. This includes scheduling appointments and surgery, communicating with clients and local veterinarians
- Obtain all medical records, imaging, and lab work reports prior to scheduled appointment. Obtain and collate all referral paperwork for appointments.
- Screen all initial appointments scheduled by the appointment desk for appropriateness, consult with clinicians and service nurses as needed
- Work closely with orthopedic and soft tissue service nurses to build each month's clinic schedule and ensure the schedule is released two months in advance
- Call initial appointment clients for a reminder 48 hours before the appointment to confirm
- Maintain wait lists for each service for initial appointments when all appointment slots are filled
- Ensure pre-op testing results have been received and uploaded to HIS.
- Confirm that all anesthesia, surgery, and radiology requests are submitted for the next day's procedures
- Facilitate communications with owners and referring veterinarians.
- Take calls from referring veterinarians and facilitate consultations with clinicians.
- Facilitate scheduling of recheck appointments with clients
Qualifications
- CVT with a minimum 5 years' experience in veterinary medicine
- Veterinary Technician C: CVT and 3-5 years of experience
Veterinary Technician D: CVT and 5-8 years of experience
Veterinary Technician E: CVT and 8 + years of experience - Prior veterinary surgical experience preferred
- Strong medical knowledge base
- Requires strong communication and interpersonal skills.
- Excellent organizational skills are essential
- Ability to multi-task while paying close attention to detail
- Must be able to work independently.
Hours
M-F 8:30-4:30 with an optional remote day
