Position Title: Administrative Assistant, Academic Success, Zucker School of Medicine at Hofstra/Northwell School/Division: School of Medicine Office: Zucker School of Medicine, Office of Academic Success Full Time/Part Time: Full-Time Description: Reporting to the Director of Academic Success, the Administrative Assistant provides administrative support to the Office of Academic Success. This position requires the use of independent judgement in planning, prioritizing a diversified workload, and regular communication with students with students, faculty, physicians, and administrators at Hofstra University, the School of Medicine, and Northwell Health. Responsibilities include, but are not limited to: Provides high-level administrative support to the Director of Academic Success, including managing correspondence, scheduling meetings, preparing meeting materials, and maintaining records. Provides high-level, project-based support to the Office of Academic Success, including updating the website, event planning support, and other duties as assigned. Facilitates the coordination of the academic success program, including tracking student progress, preparing reports, and handling confidential information. Maintains and updates student records related to academic success for a student body of approximately 450 students. Provides support for student communications such as fielding answers to routine questions, coordinating appointments, and explaining policies. Facilitates the preparation of materials for the Student Advancement Committee. Facilitates support of the peer tutor program including assisting with onboardings, managing communications with tutors and tutees, and the planning of group tutoring sessions. Collaborates with other administrative staff members to cover absences, provide relief to equalize peak work periods, or otherwise balance the workload within the team. Performs other related duties and projects as assigned. Qualifications: Bachelor's degree required. Minimum one-year experience in an office environment. Possess customer service orientation with excellent organizational skills, attention to detail and oral and written communication skills. Must be a creative problem solver with an ability to work independently. Demonstrate a high degree of judgment, discretion, and confidentiality. Must be mission-driven, motivated, and a lifelong learner. Extensive computing experience and demonstrate proficiency with Microsoft Word, Excel, PowerPoint, and Outlook. A flexible work schedule, including some early mornings and late evenings, may be required to support extended student services. Preferred Qualifications: Experience working in education is preferred.
