Administrative Coordinator - Facilities (3 Positions) POSITION DETAILS Brooklyn College of the City University of New York (CUNY) invites applications for Administrative Coordinator positions in the Office of Facilities. Reporting to the Associate Director of Finance and Administration, the Administrative Coordinator(s) will assist and provide support for department operations including maintenance requests, budget management, and planning functions. In addition to the CUNY Title Overview, typical duties include but are not limited to: Coordinates the communication calendar, incoming work requests, answering Facilities emergency calls and distributing information in both written and visual forms. Manages Archibus; update user list, accurate and unbiased collection of data, define problem types and route them to the correct trades. Assists with creating content for online information platforms, such as campus updates, public service announcements, and instructional resources, as it relates to the Office of Facilities. Assists with creation of preventative maintenance requests, updating service level agreements based on industry standards and college metrics. Assists with coordination of department planning projects, including site visits, and space usage with campus end-users. Assists with time and leave, payroll processing, and other projects as needed. QUALIFICATIONS Minimum Qualification Bachelor's Degree required. Preferred Qualification Higher education experience and or a desire to work at college or university long-term. Strong communication and interpersonal skills required. Experience in Excel, ADOBE suite, Outlook preferred. Experience in or willing to be trained with Archibus or other Integrated Work Management System (IWMS). Ability to find workable and effective solutions to problems and/or disagreements. Ability to complete tasks in timely manner. CUNY TITLE OVERVIEW Supports projects, initiatives, and activities that impact an academic or administrative department. Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information. Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software. Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections. Conducts internet and/or database research and performs basic systems queries to locate information related to department activities. Maintains department fiscal plans and budgets; assists in budget administration and invoice processing. Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department. May supervise office staff and student workers. Performs related duties as assigned.
