Patient Services Intermediate - Military Veterans

Michigan Medicine is seeking a Patient Services Intermediate for Oral & Maxillofacial Surgery/Hospital Dentistry (OMFS/HD). The primary mission of OMFS/HD is to provide timely, high-quality dental care for patients from a diverse population while also upholding the mission of Michigan Medicine. We are seeking a compassionate, enthusiastic, and self-driven Patient Service Associate to provide exceptional customer service to patients and family. This individual will share our priorities which include excellent customer service, safety of staff and patients, efficiency, employee satisfaction, stewardship of resources and the ideal experience for our patients, families, and employees.

  • Work with physicians on adherence to surgery scheduling procedures.
  • Advanced MiChart and Axium responsibilities.
  • Prior authorization and Pre-Determinations for clinic procedures.
  • Responding to concerns, questions, and complaints from patients.
  • Oversee assigned MiChart In-Basket.
  • Coordinate faculty schedules.
  • Serve as lead for entire clinic to provide room allocation for urgent and routine add on clinics.
  • Obtaining and tracking pre-appointment records; including but not limited to lab and diagnostic results, appointment clearance, progress notes, etc.
  • Manage phone calls from internal and external customers related to surgery.
  • Coordinate with other department schedulers to optimize use of service block time at operating rooms across the health system.
  • Enter Dental or CPT codes into scheduling system to permit business team identification of patient financial liability.
  • Serve as a representative of the surgery scheduler team/role on various committees, workgroups as needed.
  • Maintain responsibility for MiChart and Axium grids.
  • Obtain proper insurance information and documentation to insure correct charges.
  • Develop, along with lead or supervisor and scheduler colleagues, standard work.
  • Manage daily work queues.
  • Obtain insurance approvals using established insurance company guidelines.
  • Assist in onboarding new team members, providing resources to facilitate the learning of position.
  • Participate in team/clinical meetings.
  • Cross coverage for PS Assistant and Associate roles.
  • High School Diploma or GED.
  • 3 - 4 years of experience.
  • Knowledge of basic medical terminology.
  • Prior experience performing complex scheduling.
  • Familiarity with obtaining medical records or professional medical billing.
  • Financial counseling experience for healthcare patients.
  • Exceptional interpersonal skills and ability to work well within a team setting.
  • Communicates effectively.
  • Demonstrates active listening, written, verbal and information technology skills.
  • Experience working within a large, complex health care setting.
  • Prior authorization experience.
  • Familiarity with UMHS electronic medical record systems.
  • Knowledge of University policies and procedures.

This position is included in the bargaining unit represented by the Service Employees International Union - Healthcare Michigan (SEIU), which represents bargaining unit members in all matters with respect to wages, benefits, hours, and other terms and conditions of employment.
