Supervision Received: The Staff Assistant/Coordinator of Student Activities reports to the Director of Student Activities, Involvement, and Leadership.
Supervision Exercised: The Staff Assistant/Coordinator of Student Activities supervises student employees.
Salary: $57,000 to $59,000 Annually

General Statement of Duties:
The Coordinator serves as the administrative staff member responsible for planning and implementing a wide range of engaging social and community building programs that build a positive community and enhance campus life. Assists with departmental processes, creates a sense of belonging for all students on campus, and is responsible for all aspects of coordinating major University programs. Appreciates the value different backgrounds bring to a college campus. This is an in-person position and requires night and weekend hours.

Duties and Responsibilities:
Duties include but not limited to:
Essential:

  • Coordinate major student activity programs and events for the Department of Student Activities, Involvement, and Leadership during the academic year, including but not limited to, Spring Weekend, Winter Weekend, and Welcome Weekend. This includes budget management, developing programs and events, executing late night events and programs, chaperoning student travel, attendance tracking, and program evaluation.
  • Primary advisor to the Campus Activities Board (CAB). Execute the selection, training, supervision, and evaluation of CAB Leadership Team to ensure campus activities happen on a regular basis.
  • Under the direction of the Director, coordinate events that involve community outreach, civic engagement, and service, including but not limited to, Family Fright Night, Turkey Trot, and election-centered programs and voter registration.
  • Assist with the planning and execution of New Student Orientation and Welcome Owl Week activities.
  • Serve as an administrator of Involve Software. Work with the registered Student Organization Leaders to manage advertising, elections, calendars, finance documents and forms, and club and organization registration processes. Assist students in developing their co-curricular transcript within the program.
  • Primary on-site manager and supervisor of night and weekend student events.
  • Partner with the execution of DEI theme month programming through serving on assigned committees and assisting student affinity clubs as needed.
  • Based on departmental assessments and outcomes, implement strategies to promote quality improvements. Create a variety of reports required on a yearly and monthly basis.
  • Supervise the SAIL Student Social Media Squad in creating the monthly SAIL Newsletter and Recap videos from major events, managing the social media accounts, and executing photography at events. Review and approve all publicity materials (posters, Instagram, social media posts, etc.) and email communications.
  • Responsible for effective publicity and promotions for student events, including posters, the website, Involve Software, email notifications and social media accounts for the Campus Activities Board.
  • Perform other duties of a related nature as assigned.

Required Qualifications:
  • Bachelor's Degree
  • Ability to sustain communication with diverse groups, anticipate problems, reconcile conflicts, and maintain a strong philosophical base for student activities.
  • Demonstrate knowledge and understanding of diversity, equity, and inclusion related to a university setting, including awareness of intercultural trends and issues facing higher education.
  • Demonstrated awareness and commitment to effectively establishing relationships and positive communications across multiple dimensions of diversity including, but not limited to race, gender, physical and cognitive limitations, sexual orientation, gender identity, class or religious perspectives.
  • Experience in student programming and in advising student groups.
  • High level of energy, enthusiasm, creativity and demonstrated sensitivity in the presence of colleagues and students.
  • Knowledge of risk management as it relates to student activities.
  • Proven ability to relate well with students and other campus constituents.
  • Strong computer skills and publication experience, including writing and editing.
  • Strong organizational skills and the ability to set priorities and work independently.
  • Proven experience providing exemplary customer service.
  • Experience working with audio-visual equipment.
  • Strong written and verbal communication skills.

Salary:

Salaries for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining agreements as well as state policies.
