Position Title: Administrative Assistant II Job Group: Professional & Scientific Required Minimum Qualifications: High school diploma or equivalent and 3 years of related experience Preferred Qualifications: Experience providing administrative support to senior level position Previous calendar management experience Experience updating and maintaining websites Front-facing customer service experience Previous experience working in higher education Excel experience Job Description: Summary The Division of Operations and Finance at Iowa State University is seeking an Administrative Assistant II to join our team in providing essential support to the Associate Vice President (AVP) of Finance and their reporting units. In this role, youll coordinate administrative services for the AVP and the departments in the AVP supervisory structure as well as serve in rotation with other administrative staff as a welcoming face and receptionist for the Office of the Senior Vice President of Operations and Finance. Key Responsibilities: Perform a variety of administrative support activities Prepare minutes, notices, agendas, and correspondence Conduct moderately complex research, gather data, and prepare reports Arrange calls and schedule meetings Make travel reservations and itineraries Participate in regularly scheduled team meetings Edit documents for grammar, spelling, and punctuation errors Coordination of interviews and assistance with new employee onboarding Update and maintain websites for multiple departments Function as phone and data coordinator for multiple departments Building Supervisor and Key Coordinator for Financial Services Building (FSB) Level Guidelines Career-level position demonstrating proficiency and knowledge of related competencies Works under direct to general supervision and may receive guidance on more complex assignments Follows established procedures for work assignments, and completes assignments which are semi-routine and may be atypical in nature Applies thorough knowledge to respond to inquiries and requests Able to resolve most problems and issues and respond to requests without escalation Provides guidance to students May provide supervision to one to two other staff or lead a small work team Candidates must be legally authorized to work in the U.S. on an on-going basis without sponsorship.
