Position Overview:
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role will support day-to-day office functions and administrative tasks to ensure efficient operations. The ideal candidate is a proactive problem-solver with excellent communication skills and a professional demeanor.
Key Responsibilities:
General Administrative Support: Provide administrative support to ensure efficient operation of the office, including answering and directing phone calls, responding to emails, and managing correspondence.
Scheduling and Calendar Management: Coordinate and manage schedules, appointments, and meetings. Prepare meeting agendas, reserve meeting spaces, and ensure relevant materials are available.
Document Management: Organize and maintain electronic and paper files, including contracts, invoices, and other essential documents. Ensure timely filing and record-keeping.
Data Entry and Reporting: Input data accurately into databases, generate reports, and maintain spreadsheets to support various business functions.
Communication and Coordination: Act as a point of contact for internal and external communication, liaising with clients, vendors, and team members as needed.
Travel Arrangements: Arrange travel accommodations, including flights, hotels, and transportation, for staff as necessary.
Supply Management: Monitor office supplies inventory and place orders as needed. Work with vendors to ensure timely delivery and cost-effectiveness.
Event Coordination: Assist in organizing and coordinating events such as team meetings, training sessions, and other company functions.
Qualifications:
Education: High school diploma or equivalent; associate’s or bachelor’s degree in business administration or a related field preferred.
Experience: Minimum of 1-2 years of administrative experience in a similar role is preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with office management software and databases is a plus.
Communication Skills: Strong written and verbal communication skills, with a professional and positive approach to interactions.
Organizational Skills: Excellent time-management skills with the ability to prioritize tasks and manage multiple projects simultaneously.
Attention to Detail: High level of accuracy and attention to detail in all tasks.
Problem-Solving: Ability to anticipate needs, prioritize work, and manage a range of responsibilities with limited supervision.
Additional Information:
Work Environment: Primarily office-based with occasional offsite tasks as needed.
Physical Requirements: Ability to lift up to 20 pounds and perform repetitive motions such as typing.
