Reporting to the Campus Operations Manager, the Campus Operations Coordinator will play a critical role in ensuring the efficient management of campus assets and operational processes. This position is responsible for implementing effective property management procedures, coordinating inventory, and providing general administrative support for campus operations. In addition to duties outlined in the CUNY Title Overview, responsibilities include: Coordinates detailed oversight of all inventory and asset management processes, ensuring assets are correctly identified, tagged, and accounted for across all CUNY SPS locations in accordance with University, State, and Federal regulations, from acquisition through disposal. Records new assets, changes to existing assets, and asset disposals in the asset management database. Creates and maintains campus operations forms, assists in workflow and processing, and supports various campus operations projects and deadlines as assigned. Liaises with campus operations team members to ensure clear communication regarding campus projects, and assist with immediate facility issues. Triages, responds to, and tracks facility-related issues, reporting them to the Campus Operations Manager, Administrative Building Superintendent and/or the Director of Campus Operations. Assists with room reservation processes, including booking, revisions, and ensuring scheduling conflicts are resolved efficiently. Communicates fire training schedules to the appropriate parties and tracks completion, and prepares/processes documents for ID card approvals. Provides necessary campus operations-related information for staff onboarding and ensures campus data is maintained and updated. Collaborates with vendors as needed to support campus operations. Provides support by responding to inquiries and directing them accordingly through ticket systems, phone, email, and in-person interactions. Assists the Director of Campus Operations with special projects as needed, contributing to the improvement and efficiency of campus services. Note: This position is a 100% on-site assignment. The physical inventory related duties of this position include tasks like stooping, kneeling, bending, crouching, and lifting up to 25 pounds. Also includes regularly transporting equipment using a dolly or pushcart, and moving extensively across campus to track inventory and assets. Candidates must be legally authorized to work in the United States on a full-time basis. QUALIFICATIONS Bachelor's Degree required. QUALIFICATIONS Preferred qualifications include: Administrative support experience in higher education, preferably in campus operations and/or inventory control/asset management. Proficiency with Microsoft Office Suite, particularly with Excel, and basic experience with Adobe Acrobat. Experience utilizing tracking databases, purchase order (PO) and invoice reconciliations, with the ability to produce detailed reports. Some experience with CUNYFirst or PeopleSoft systems. Familiarity with electronic databases and strong understanding of file organization and file structure. Basic project oversight experience. Excellent communication and organizational skills. High attention to detail, self-directed, motivated, and proactive in managing tasks. Strong ability to work collaboratively and effectively within a diverse team in a fast-paced environment. High degree of professionalism and personal integrity, with the ability to maintain confidentiality. Ability to meet the physical demands of the job on-site. CUNY TITLE OVERVIEW Maintains and tracks fixed assets and equipment. Coordinates and communicates with Purchasing, Accounts Payable, Receiving, and Storeroom personnel to track and manage fixed assets inventories Conducts physical inventories of College property in accordance with established federal, state, and city policies and procedures Works with College Public Safety personnel to safeguard property and maintain proper equipment control Maintains systems and databases to track assets; prepares and reviews routine reconciliation reports Assists in proper equipment disposal, transfer and salvage activities following City, State, and Federal regulations, and in accordance with University policy Assists in records management May supervise personnel in conducting inventory and performing routine tasks Performs related duties as assigned.
