Scheduled Hours 40 Position Summary The Senior Director of Finance and Administration will oversee and manage the business operations of a large clinical academic department, ensuring efficient and effective support in areas of finance, HR/payroll operations and administration. The role requires a strategic and experienced leader to drive operational excellence, optimize resource allocation, and foster a collaborative work environment that promotes the departments goals within a dynamic healthcare and academic setting. The ideal candidate is a hands-on leader with a strong background in financial management, operations and administration experience. The role will serve as a key advisor to department leadership on all business affairs, finance and general administration. Job Description Primary Duties & Responsibilities: Strategic Leadership and Planning Develop and implement strategic business plans that align with department goals and institutional priorities. Collaborate with department leadership to create and track long-term growth plans, including staffing, space utilization, and budget allocation. Serve as a trusted advisor to the department chair and Executive Director providing insights into operational challenges and solutions. Financial Management and Budgeting Oversee all financial activities, including budgeting, forecasting, and expense management, to ensure fiscal responsibility and compliance. Prepare and monitor annual budgets, ensuring alignment with department and institutional goals. Develop financial models and analyses to support strategic initiatives. Manage and assist with negotiating various agreements, including service, industry, and hospital contracts. Conduct annual reviews of contracts to ascertain opportunities to renegotiate. Perform financial analysis on a variety of projects as requested by leadership. Human Resources and Workforce Management Supervise and manage business office staff, monitor performance, manage and allocate workload, conduct evaluations, and recruit/hire. Manage departmental staffing levels ensuring appropriate staffing levels and skills to support operational needs. Lead and manage the finance, HR/payroll and administration teams within the department. Operations and Process Improvement Identify opportunities for process improvement and implement best practices in areas such as on-boarding, space utilization, and administrative efficiency. Collaborate with faculty and staff to streamline workflows and improve service delivery to both internal and external stakeholders. Ensure compliance with institutional policies and procedures, as well as regulatory requirements, across all operational activities. Provide expertise and guidance to leadership in ensuring compliance with the operating budget, salary guidelines, University policies and procedures, and department policies and procedures. Data Analysis and Reporting Develop, monitor, and report on key performance indicators (KPIs) related to department operations, financial health, and strategic goals. Utilize data to make informed recommendations for resource allocation, process improvement, and strategic planning. Compile annual Operating and Maintenance Expense Reports. Develop standard practices and procedures for business administration. Create a comprehensive, effective information system for administering the financial requirements for budgeting and reporting, working with IS and or internal department team to develop and implement the system and monitoring results. Prepare regular reports and presentations for department and institutional leadership. Stakeholder and Relationship Management Serve as the primary liaison for the departments business operations with institutional offices, including Finance, HR, Compliance, IT, and Facilities. Build and maintain strong relationships with internal and external stakeholders to support the departments mission and goals. Represent the department at institutional meetings and committees, advocating for departmental needs and priorities. Serve as a representative on local and national organizations (such as Academy for Administrators in Academic Emergency Medicine (AAAEM)). Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
