HIRING SALARY RANGE : $51,874 - $54,128

Description of Duties :
The primary purpose of the Program Associate position is to support the Dean of Science and Science Department Chairs with a focus on budgeting, and record keeping across 3 programs (Durham, Morganton, Online) and an emphasis on purchasing and receiving for Durham. The Science Department employees participate in a large number of extracurricular events, summer programs, and professional development workshops that often involve travel and registration - in this regard, this position will primarily serve the Durham-based employees. This is an in-person position based at the Durham campus.
Duties include Departmental Budget Management; Departmental Purchasing and Receiving; Administrative and Departmental Program Support; HR and Business Office Liaison and other Duties as assigned.
Departmental Budget Management
Independently manage multiple budgets (State, Foundation) with detailed breakdown by expenditure.
Keep up-to-date balance sheets for all accounts.
Departmental Purchasing and Receiving
Place orders as approved by the Chair or Dean for all 3 disciplines in the Durham and Online program.
Independently use eProcurement software, P Cards, Bank of America, Blackbaud WebPortal.
Administrative and Departmental Program Support
Organize and maintain paper and online filing systems.
Route forms for signatures utilizing software such as DocHub.
Provide support for Dept Meetings and special events in the form of announcements, room reservations, refreshments, taking meeting minutes/notes, and photocopying.
HR and Business Office Liaison
Complete employee paperwork for permanent hires, temporary hires, independent contractors; conduct employment verifications for temporary hires.
Work with the Business office, SCSSI, and Foundation for spending.
Utilize Blackbaud Financial Edge, NXT, and NCXCloud for state budget reports.
Confirm balances of State Accounts with the Business office.

Preferred: Experience working in an educational setting in a similar or related role.
High level of comfort with computers and using local and distributed/online applications. Ability to use word processing, spreadsheets, form creation, and other productivity tools as desktop applications and as provided in the cloud. Comfortable with email and group communication tools. Excellent writing, communication, quantitative skills and organizational skills. Ability to work independently and in teams.
