Job Description:
The Division Business/Accounting Manager will oversee administrative and accounting functions at assigned office and direct office staff.
General Requirements:

- Act as public relations liaison with clients and other external contacts (vendors and subcontractors) as required.
- Assist in development of business plan as needed.
- Assist in execution of all owner change orders and subcontract change orders.
- Make sure all pay estimates are entered timely each month.
- Ensure all subcontractors pay applications are entered timely each month.
- Monitor A/R and inquire with customer when receivable gets 60 days or older.
- Assist Project Management in providing salaried new hires company issued equipment.
- The Division Business/Accounting Manager is the primary contact (go to person) for the project managers, project engineers, cost control personnel or safety personnel to contact with questions regarding accounting or administrative matters, training needs, security issues or any other problems.
- If it is determined that additional assistance is required, then the Division Manager or proper corporate personnel should be contacted to assist.
- The Division Business/Accounting Manager should make sure that all division overhead expenses are properly coded and approved by the Division Manager.
- Oversee the office administration of the branch office, which includes receptionist, administration personnel, contract administration personnel and accounting.
- Verification process, review batches before sending to Corporate A/P for processing.
- Knowledge and implementation of field purchasing procedures and major purchase orders.
- Knowledge of subcontractor processing procedures including vendor setups.
- Knowledge of how to enter client pay estimates and follow up for inquiries related to such.
- Knowledge of how the Inventory and Material Sales process works; primarily managing Material Sales deposits and reconciliation of accounts.
- Oversee the timeliness of payroll reporting including verification, review and sending to Corporate Payroll for processing by prescribed deadlines.
- Perform and lead the operation of corporate audit requests.
- Manage the process of check requests from Project personnel.
- Monitor and manage the permissions to the Divisions File Server (Egnyte).
- Ability to work well with senior project personnel as well as subordinates while performing the job duties.
- Responsible for the budgeting and purchasing process in compliance with company policy and Division specific business plan.
- Responsible for leading a dynamic team.
- Perform other related duties as required of the position or as directed by supervisor.
- Minimum 5 years' general business/administrative experience within construction industry; or equivalent combination of training and experience.
- Minimum 5 years' experience in both staff and supervisory capacity in accounting and administrative positions within construction industry; or equivalent combination of training and experience.
- Experience in accounting and financial reporting process, accounting and administrative department and general office administration in a multi-location environment.
- Advanced knowledge and understanding of company policies, procedures, contract requirements, and construction management functions (accounting, cost control, procurement, etc.)
- Working knowledge of general employment practices and regulations are essential.
- Demonstrated analytical and organizational skills.
- Demonstrated oral, written and interpersonal communication skills.
- Intermediate knowledge of Viewpoint and P-Vault accounting software and Microsoft Office: Word, Excel, PowerPoint and Outlook.
- Must be comfortable learning new software packages.
- Manage administrative process of procuring computers, iPads, cellular devices and securing the appropriate access rights for users in the area.
- Must be able to work under pressure, to multi-task and to meet deadlines.
- Must possess proven communication, leadership and interpersonal skills.
