Department: Department of Theatre At UMBC's Department of Theatre, we believe that theatre is an ever-changing art form, responding to and creating new ideas that confront our ethical, political, and artistic ideas and practices. https://theatre.umbc.edu/ Position Overview: The Business Services Specialist serves as the primary administrative and financial support for the Department of Theatre, a unit of 11 full-time faculty, 4 staff and contingent employees, 100 majors, numerous adjunct instructors and guest artists, and a heavy schedule of production and curricular activities. Reporting to the Chair, the BSS is responsible for administering, overseeing, and processing activities in three main areas: financial and budget, faculty activities, and overall department support. The BSS is the principal liaison between the department, CAHSS and UMBC administrative and financial services, and serves as the department's resource on UMBC policies on purchases, travel, human resources, and other financial business. Responsibilities: Assisting and planning the department's budget, and assisting with all financial activities for the department Administering and processing personnel searches, including onboarding new adjunct faculty and Contingent I staff and working with CAHSS Shared Services on human resources and payroll functions Serving as the principal liaison between the Department of Theatre and CAHSS, outside vendors, as well as all other University administrative and financial services, and serving as the department resource on UMBC policies on purchases, travel, payroll and other financial business Maintaining budgets and paperwork for the overall operation of the department, department-supported faculty and staff travel, theatre performances and faculty/student events, working fund transactions, foundation and donor accounts, student scholarship funds and student research grants and other payable/receivables Generating contracts for adjunct faculty, guest artists and contingent staff Administering faculty hiring searches, onboarding new hires and providing payroll information to new employees Processing department purchases through Procurement, including PAW and P-card transactions, creating requisitions, receipts and requesting invoices Handling incoming calls, emails, and correspondence, responding to or redirecting as appropriate Ensuring that the Shared Office, Copy Room, Conference Room, Supplies Room, and poster cases are kept tidy and supplies are up-to-date Helping faculty and other staff with printing, scanning, photocopying of syllabi and other documents associated with daily operations Assisting with the analysis of program review, if and when necessary, including but not limited to admission and enrollment trends, curriculum, and faculty profile Supervising Contingent I and student employees for Office or Recruitment work Other duties as assigned Required Minimum Qualifications: High School Diploma or GED Six years progressively responsible experience in a combination of budgeting, accounting, payroll, purchasing, and personnel work Ability to effectively problem solve, think critically and communicate effectively with college students and staff in situations of shared responsibility and confidentiality Must be able to work independently and within a team environment, and demonstrate excellent verbal and written communication skills Potential to learn and execute University policies and procedures in the areas of budget, finance, personnel, purchasing, human resources Requires exceptional organizational and problem solving skills, attention to detail and dedicated customer services skills Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience. Preferred Qualifications: Comfortable working remotely or in a virtual setting, as well as in-person Experience using Google Applications such as Docs, Drive and Sheets, as well as experience using Microsoft Office products, specifically Word and Excel Individuals should be able to thrive in a high-paced and dynamic environment with demonstrated experience in providing administrative support Background Screening Statement: A background check will be required. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, Memorandum of Understanding, USM Board of Regent policies, internal equity, budget and qualification and experience. Most salary offers will be close to the minimum part of the range.
