The key mission of the Administrative Assistant is to increase the daily efficiency of the Delanco Powerhouse site operations and management teams and to contribute to the effectiveness of the organization by ensuring the best use of time and resources as well as driving initiatives and projects related to facilities and fleet in conjunction with the management team that benefit the company as a whole.

Primary Objectives

  • To ensure that all events and activities are well-structured, planned in advance, and information communicated to others transparently so as to allow for consensus
  • To initiate and drive projects that increase the effectiveness of the organization related to facilities and fleet
  • To coordinate and manage Powerhouse's fleet and MVR responsibilities to include compliance, maintenance, documentation, and users
Expected Activities
  • Organize meetings for both Customer Center and Product company to include organizing the venue, hotels, etc.
  • Organize travel and hotel arrangements for Powerhouse visitors, and GM/VP if needed
  • Ensure that the office has adequate levels of office and kitchen supplies
  • Manage the mail/package and print services for both incoming and outgoing needs
  • Ensure all Powerhouse trucks, trailers, and equipment have proper NJDMV and USDOT registrations to include all markings and tags.
  • Responsible for answering phones, checking in visitors, and accepting deliveries to the office.
  • Maintain the master truck and trailer spreadsheet with all pertinent data to include registration renewal dates, trailer specs, and date placed in service.
  • Manage all Powerhouse Delanco and Gastonia employee cell phones to include keeping the master tracking sheet and ordering/replacing as required.
  • Manage the office/building to include landscaping, cleaning service, general maintenance, and organizing repairs and/or upgrades as required.
  • Organize, scan, and file operations checklists on the share drive.
  • Update the operations communication board in the shop daily.
  • Manage the on-and-offboarding of vendors, contractors, and internal required training, and elements of new hire employee on-and-offboarding related to IT peripherals
  • Work to solve urgent and difficult customer problems

Education and Experience
  • Bachelor's Degree in a relevant subject, business or communications-related majors preferred, or equal combination of education and experience
  • A minimum of three years of relevant experience in an office setting
  • Proven track record of working successfully with many people and on many things at the same time
  • Several examples of successful project planning and execution
Job Knowledge, Skills, and Abilities
  • Must be highly organized and able to control many things at the same time
  • Must be able to prioritize and plan while differentiating between the urgent and the important
  • Must be able to demonstrate strong collaboration and communication skills
  • Must be proficient in MS Office Suite, including Word, Excel, and Teams
  • Must have a strong command of the English language, written and oral
  • Some travel required

Physical Demands
  • Required to be able to move about the facility regularly (standing, walking)
Work Environment
  • Mostly office-based with some warehouse or workshop environment and some regional office and seminar venue visits.
  • Will occasionally be required to work overtime and weekends
