The Administrative Coordinator is a renewable, term role, that provides wide administrative support to the Department of Government, including the Department's large undergraduate major and minor. This position is also responsible for the coordination of large-scale events and special meetings, faculty recruitment and support, undergraduate student research hiring, department expenses and reconciliations, and overall assistance with department operations. Responsibilities include, but are not limited to: Undergraduate Program & Faculty Recruitment Support Work with the Director of Undergraduate Studies in providing support to undergraduate majors/minors as well as meaningful programming events. Meet and present undergraduate major/minor info to prospective undergraduate students. Maintain undergraduate program handbook and undergraduate program info on department web site, assisting with graduation awards and activities. Coordinate faculty search processes with selected committee, including compliance with GU policies, review of applications and visits by selected candidates. Process and reconcile all faculty expenses as related to research or department business. Assist with set-up of faculty each semester, especially new faculty, maintaining all faculty email lists to ensure all faculty are well informed. Operational and Department Events Support Process and reconcile department expenses according to established budgets, overseeing hiring and payroll for undergraduate research assistants. Manage the hiring and supervision of the Department's ICC 681 front desk work-study student assistants. Serve as Department Technology Representative to liaise with UIS on university computing updates and represent Department needs. Assist the Administrative Officer with management of central office and streamlining of internal administrative processes. Coordinate special and large-scale department events, to include securing venue, communication with the Office of Protocol as necessary, invitations and RSVP's, programs, advertising, audio-visual, catering and reconciliation of event expenses. Ensure that all event and agenda logistics have been coordinated meticulously to avoid potential pitfalls, providing onsite support to be able to troubleshoot if necessary. Course Scheduling Support Assist the Associate Director of Undergraduate Studies as needed, with working drafts and timetable of department scheduling process, in light of Registrar's Office deadlines for each term. Assist Chair, Field Chairs, the Directors of Undergraduate Studies, the Director of Graduate Studies and MA program staff to ensure that all planned courses are successfully scheduled in the department's master schedule, so students have the most accurate information during the pre-registration process each term. Assist Administrative Officer with cross referencing adjunct courses each term to ensure that contracts are submitted accurately and course cancellations are processed promptly. Assist with College Dean's Office to ensure that that undergraduate major/minor requirement courses are consistently offered to satisfy the degree requirements. Work Interactions The Department of Government is one of the largest academic departments within the Georgetown College of Arts & Sciences, housing a large undergraduate program, 3 MA programs and a highly ranked PhD program. Reporting to the Chair and Administrative Officer, the Administrative Coordinator is responsible for serving undergraduate students to ensure a positive student experience, as well as department faculty with their teaching and research logistics. This position also contributes to the success of the Department by successfully hosting events that highlight the Department, its faculty and students. Requirements and Qualifications Bachelor's degree required with at least 2 years of experience in a fast-paced office Proficiency in MS Suite applications, Google docs and content-based web site management Must possess excellent verbal and written communication skills Superior multi-tasking and time management skills Self-starter with the ability to work independently and within a team Must be able to navigate sensitive matters with utmost confidentiality, good judgement and poise Work Mode Designation This position has been designated as Hybrid .
