Marketing Events Coordinator | Harvard University Faculty of Arts and Sciences - Military Veterans

Job Summary Reporting to the Associate Director of Marketing Engagement at Harvard?s Division of Continuing Education (DCE), the Marketing Events Coordinator plays a key role in planning, organizing, and executing a wide range of events for prospective students, participants, faculty, and staff, driving lead generation and supporting content creation across channels and brands. Position Description Works closely with other key members of the Marketing and Strategy team on events, projects and research as needed, interfacing with other team members in the Division. Manage event logistics by coordinating stakeholder communication, booking venues, preparing agendas, and developing marketing content. Additionally, scheduling team meetings to allow for both collaborative and individual work sessions. Other duties and responsibilities include: Project Management Under the strategic supervision of the Associate Director of Marketing Engagement, the Coordinator will plan and execute 12-24 (mainly virtual) marketing events annually. Responsibilities include coordinating logistics such as scheduling, choosing platforms, addressing audiovisual needs, and providing technical support. Manage event timelines and task lists, liaise with stakeholders for high-standard delivery, oversee registration processes, and support internal Harvard DCE events as required. Event Coordination Coordinate event setup, execution, and wrap-up, including livestreams, post-event surveys, and content coordination. Ensure smooth operations by troubleshooting issues and providing virtual tech support. Guarantee event accessibility by offering closed captions, sign language interpreters, and accessible documents, as needed. Evaluate post-event success and identify improvements by analyzing attendee and stakeholder feedback. Maintain activity records, report outcomes, and coordinate transcription and promotion of event recordings. Event Marketing, Content Creation, and Promotion Collaborate with the marketing team to develop event promotion and content repurposing strategies. Write and design scripts, run of show documents, and slides. Develop and distribute event marketing materials like flyers, emails, and social media posts. Monitor and report on marketing campaign effectiveness. Vendor and Partner Management Create and order promotional materials or event props, as needed. Identity, negotiate, and manage relationships with vendor and service providers. Basic Qualifications Five or more years of related experience. Education beyond high school may count towards experience. Additional Qualifications and Skills Bachelor?s degree in Event Management, Marketing, Hospitality, Business, or related field. Minimum 2 years of experience in event planning and coordination, preferably within a marketing context. Strong organizational and multitasking skills with the ability to manage multiple projects simultaneously. Excellent communication and interpersonal skills. Proficiency in event management software, HubSpot, Canva, Photoshop, Google Drive, and Microsoft Office Suite. Strong problem-solving skills and attention to detail. Knowledge of accessibility standards and practices for virtual events. Knowledge of Harvard University and its administrative processes, a plus. Physical Requirements Occasional lifting of boxes, setup of backdrops, etc., up to 15 lbs. of weight. Working Conditions Ability to work flexible hours, including evenings and weekends, as required.
