Position Title: Senior Assistant To, Grade E School/Division: School of Education Full Time/Part Time: Full-Time Description: Reporting to the Senior Assistant Dean for Administration and Budget, the Senior Assistant To performs a full range of secretarial duties for the School of Education, providing student and faculty services support for the school. Responsibilities include, but are not limited to: Assists the Specialized Programs in Education ( SPE ) department leadership with faculty load reports, workflows, review of Master Audit schedules, and scheduling adjustments. Serves as a resource for SPE students, providing information relative to the department and programs and processing waiver/sub requests. Assists with the filing and record keeping of all SPE faculty and adjuncts. Assists with processing contracts, paperwork and orders for the Adventure Ed Camp. Coordinates and schedule SPE departmental meetings, including ordering catering. Prepares all aspects of SPE departmental mail, orders office supplies, and submits work orders as needed. Assists with the hiring, training and supervision of student workers. Schedules Physical Education and Health student advisement appointments. Assists with maintaining and updating department records, including faculty and student contact information, website content, and academic forms. Supports budget maintenance, including processing reimbursements and all compensation payments. Gathers documentation to process new faculty hires and promotions. Supports the Education Leadership, Policy, and Literacy Study doctoral students and faculty with processing contracts for outside Dissertation Defense Committee members. May perform other assigned duties not specifically identified above but which require the same degree of skill and are normally included within the above job description. Hours: Monday through Friday from 9am to 5pm. Subject to bumping Qualifications: Proficiency with Microsoft Office, specifically with Word, Excel, and Outlook required. Ability to handle confidential and sensitive information with discretion. Possess outstanding communication and problem-solving skills. Detail-oriented work ethic with superior judgement and organizational skills. Must demonstrate the ability to multi-task, prioritize and work as a team player. Preferred Qualifications: Proficiency with Ellucian Banner preferred.
