Information Governance Analyst - Military Veterans

OVERVIEW:
This is a strategic role that will support a CBPS client’s Records department in the legal space, by establishing, supporting, and enhancing Data and Document Management Integrity, Data and File Security Best Practices, Information Technology Governance Procedures, and support Corporate AI Initiatives as established by the client’s Information Governance Manager while reporting into local Canon Management. The role will be responsible for implementing efficient processes for all aspects of records related Data, Data Management, and Life-Cycle of Records within the department as well as delivering the highest customer service for clients at the identified site(s). In addition, the role will be responsible for requirements gathering, analyses of business processes, design of solutions being offered, and controls of data management within processes.
RESPONSIBILITIES:
- Provides day-to-day leadership and works with staff to ensure a high performance, customer service-oriented work environment which supports achieving the department and the firm’s mission, strategic plan, objectives, and values.
- Assist in developing and implementing goals, objectives, practices, policies, procedures, and work standards with respect to the Data Integrity procedures and best practices, including proper Data Management, Data and file Security, and Information Governance Procedures.
- Assist in developing, implementing, and maintaining Database Integrity, Data Accuracy, Database Upgrades, Data Entry procedures, Database Accessibility, and the development and maintenance of new database models to meet the changing needs of the Records Department.
- Work in support of and contribute to the development of the firm’s information governance policies, procedures, and standards.
- Responds to inquiries, helping to identify records and information relevant to the request and ensure a timely response to all requests.
- Supervises the use of records management systems and equipment to ensure reliable, high-quality operation of document management systems.
- Oversees the maintenance, update, and disposal of records on and offsite, revising destruction schedules and coordinating the destruction of records with corresponding departments.
- Independently organize work, set priorities, meet critical deadlines, and follow-up on assignments. Use tact, initiative, prudence, and independent judgment within general policy, procedural, and legal guidelines.
- Monitors and reviews legislation and legal requirements and recommends changes to achieve legal compliance and effective records management.
- Must be comfortable interacting over email, phone, and/or zoom and communicating clearly, concisely, and without delay with Records Team.
- Performs other duties as assigned.
QUALIFICATIONS:
- Bachelor’s degree, or a combination of academic and work experience equivalent to a Bachelor’s degree may be substituted in addition to the experience below.
- Imaging Professional Certification or eligibility is preferable
- A minimum of 7 years of progressive responsibilities with document imaging analytical and implementation opportunities
- Demonstrate the ability to analyze existing business processes, determine pain points, and develop solutions
- Experience in designing, developing and implementing document capture, storage and retrieval, and workflow based document imaging applications
- Experience in training staff to operate software products and implementing solutions effectively
- Knowledge of automated imaging management systems and emerging technologies
- Knowledge of scanner equipment such as Fujitsu, Canon, HP, IBML devices
- Proficient in MS Word, Excel, PowerPoint, Project, and Visio
- Proficient with SQL queries and scripts for report generation
- MCP, MCSA, or MCSE is a plus
- SharePoint Knowledge is a plus
- Ability to understand regulatory requirements for managing corporate information in a secure and compliant manner
- The ability to analyze business, technical and staffing requirements for corporate, legal and other clients
- The ability to prioritize work, meet deadlines, and complete deliverables in an accurate and timely manner
- Strategic thinker and results oriented with ability to make good decisions based on combination of analysis, experience, and professional judgment
- Ability to research, gather, arrange, interpret, summarize, and evaluate complex data and information to prepare accurate and complete client proposals, installations, reports and monthly activity metrics
