Overview
We are looking for a highly motivated, adaptable, and experienced Undergraduate Administrator (UG) for the Department of Molecular Biology at Princeton University. The Undergraduate Administrator will administer all aspects of the undergraduate student program. The UG Administrator represents the Department in interacting with undergraduates, department faculty, the Office of the Registrar, the Office of the Dean of the College, Residential Colleges and other university administrative units completing administrative tasks, proactively raising issues requiring departmental intervention, and gathering the information needed to efficiently make required policy decisions. The Undergraduate Administrator is the primary point of contact for undergraduates in the Department, allowing the Director of Undergraduate Studies to respond to exceptional inquiries.
The Undergraduate Administrator is a reciprocal back-up for the Graduate Administrator as a presence in the office for students. The Undergraduate Administrator reports to the Department Manager.
Responsibilities
Program Management
- Manage all aspects of undergraduate program
- Manage curriculum planning including the Undergraduate Announcement update process, class scheduling, and approvals.
- Work with faculty to schedule courses in the Registrar's CAP/CUP system and help faculty with Canvas or other course-related matters.
- Meet with and advise current and prospective students.
- Administer Junior Tutorial program
- Analyze and update degree progress reports to ensure students are meeting departmental requirements.
- Schedule and attend both the Undergraduate Studies Committee and the Undergraduate Student Committee meetings.
- Coordinate senior thesis process including adviser selection/assignments, scheduling of oral exams with faculty
Event Planning
- Planning and preparation of materials for UG events such as: Academic Expo, Sophomore Open House, Princeton Preview, Class Day, Senior Poster Session
Database Administrator
- Maintain Undergraduate Program domain on department's website
- Maintain database for UG population including alumni/post-graduation information
- Manage Undergraduate Independent Work Canvas sites
Summer Program
- Provide administrative support for MOL/QCB Summer Undergraduate Research Program, including programming and financials
Qualifications
- Bachelor's degree
- 5+ Years Experience
- Strong oral/written communication skills
- Excellent interpersonal skills: Ability to work effectively with students, faculty, and university administrators.
- Exceptional analytical, problem-solving, decision-making skills.
- Attention to detail, partnered with the ability to think and execute strategically.
- Effective organizational and project coordination skills.
- Demonstrated ability to gather, analyze, interpret and present data
- Ability to utilize current technology to create and enhance the Undergraduate Program's presence on the web and social media sites.
- Must be proficient in MSWord, Excel, Internet and email
