Position Summary The Administrative Officer III is the administrative manager for the Center for Community Engagement (CCE). CCE creates opportunities for UCLA faculty, students, and staff to collaborate with community partners to build an equitable and just society through community-engaged research and teaching and community programs. The CCE Manager functions both independently and in conjunction with the CCE directors and staff. The range of duties is broad in scope and requires considerable decision-making latitude. The CCE Manager understands the broad academic mission of the university and the detailed workings of each CCE program in order to ensure the full range of administrative needs are met. Reporting to the Assistant Vice Provost and Executive Director, the CCE Manager oversees the operations of all programs and activities, working closely with directors to determine long-term goals, implement plans to meet those goals, establish staff, financial and administrative support needs, and ensure that CCE directors have support needed to successfully mount and grow their programs. The CCE Manager provides guidance and support to administrative personnel and assists to coordinate their workflow assignments. The CCE Manager works with the Assistant Vice Provost and Executive Director to manage the CCE budget (comprised of both general and extramural funds, and contracts and grants). The CCE manager also provides guidance and support for budget and finance coordination between CCE and DUE central, creating new systems as needed to facilitate effective communication of information and efficient workflows. The CCE Manager coordinates short and long-term planning; and manages all operations including events and program activities; financial administration and processes; strategic planning efforts; staff administration and training; data and website management; space/facilities utilization and IT/equipment management; as well as manages CCE's internal academic and CHR staff hiring processes in order to facilitate official hiring by DUE's central Human Resources. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications Detailed knowledge of and demonstrated experience using sound management concepts, principles and practices, and the ability to apply this knowledge to the development of new methods, approaches and procedures within a large organization. (Required) Ability to think and plan strategically, research complex information, conduct administrative analyses, and implement policies and procedures with wide-ranging impact. (Required) Demonstrated skill in analyzing complex data, situations, practices and procedures to identify and assess problems, taking into account relevant concerns or other factors; ability to recognize alternatives and their implications, and to formulate logical and objective conclusions. (Required) Demonstrated ability to create and manage groundbreaking, precedent-setting systems in a complex unit with multiple programs and objectives; ability to use initiative and mature judgment to make decisions in line with University policies and procedures. (Required) Ability to organize and coordinate numerous multifaceted projects, develop accurate timelines, and work in a complex, dynamic and continuously evolving organizational environment, with ambiguous and/or undefined goals, conflicting demands and changing priorities; skill in managing complex tasks with (Required) Demonstrated interpersonal skills to establish and maintain cooperative working relationships with a diverse cross-section of faculty, staff and students, as well as the public. (Required) Demonstrated supervisory skills to hire, train, and evaluate staff and create a professional and collaborative team environment; ability to recognize and develop personal potential of staff members. (Required) Skill in negotiating and exchanging ideas, information and opinions with a variety of stakeholders and campus units to build consensus; communication skills to convey information clearly and accurately. (Required) Working knowledge of University organization, policies and procedures that affect academic administration, undergraduate curricula and programs, and Academic Senate structure. Detailed and broad knowledge of University accounting principles and practices to develop and manage financial reporting system. (Preferred) Superior writing skills to draft, edit, and produce correspondence, analytic reports, and other documents. Demonstrated proficiency using the Internet and computer programs such as Microsoft Word, Excel, Outlook, Publisher, and Adobe Acrobat. Working knowledge of University computer applications such as Counselor Desktop, OASIS, University financial system, Express (travel), etc. (Required) Familiarity with computer programs and technology for website development, surveys, databases, and other needs. (Preferred) Must be able to maintain regular, on-site schedule and on-time attendance. (Required) Education, Licenses, Certifications & Personal Affiliations Bachelor's Degree in related area or equivalent experience/training.
