Director of Estates & Gift Administration | Iowa State University Foundation - Military Veterans

As a key member of the gift administration team, you will manage deceased donor estates in probate, while also managing the process to record living donor planned giving commitments. This position will also supervise gift entry staff and supervise securities transactions.
Core Responsibilities include but are not limited to:
Prepare correspondence to representatives, review documentation received from estate representatives and manage all administration and closing of estates.
Work with donor compliance services to ensure estate criteria can be met; establish gift agreements and accounts as needed.
Prepare accounting transactions for estate gifts and similar non-cash gifts and prepare corrections as needed.
Coordinate with supervisors and foundation legal counsel on possible litigation/contesting of estates as needed.
Prepare monthly pending estates gift report and provide background information.
Supervise securities transactions, including instructions to donors/brokers, valuations, journal entries, and supporting documentation.
Supervise gift entry staff. Handle personnel matters: hire, train, coach/mentor, supervise and evaluate, providing formal written feedback twice a year and conducting regular check-ins with staff focused both on current projects and tasks, as well as career growth and leadership development.
Prepare monthly pledge and estate projection and quarterly progressions for stock, estates receivable, etc.
Coordinate year-end receipt summary, including receipt format and data disclosure information. Ensure IRS guidelines are met. Perform periodic queries during the year for pledge payments, premiums, and other data cleanup.
Education & Work Experience
Bachelors degree in accounting or finance. Advanced degree or professional certification preferred.
4+ years of work experience related to employment area.
2+ years of managing staff is required.
Desired Skills & Experience
Experience working with estates and/or in gift administration is preferred.
Must have an understanding of and experience with accounting and finance, including journal entries and various reconciliations.
Strong communication skills (both written and verbal), professional judgment, organizational planning, diplomacy, and professionalism.
Must be able to handle several activities simultaneously with attention to detail and adherence to deadlines and accuracy.
Must be proficient in Microsoft Office suite of applications, especially Excel and Word, with the ability to learn job-specific software. Experience in database management and spreadsheets is required.
Experience with CRM software, especially Salesforce, is a plus.
Ability to work effectively as a member of a team. Must be adaptable, flexible, and self-directed.
