Team Assistant - Military Veterans

You will play a key role in ensuring the smooth running of various business units by providing essential support to Executive Assistants, the Executive Leadership Team, and Senior Leadership Team members.

Your responsibilities will include proactive diary management, room bookings, and holiday cover for EAs. You will also assist in preparing reports, documents, and presentations, liaising professionally with external customers and clients.

You will take charge of travel arrangements, including booking accommodation, visas, and itineraries, and processing expenses and invoices in a timely manner while mastering our new PO system. Additionally, budget management is key to this role, as is maintaining contact lists, supporting company-wide meetings, and managing beauty and fitness product reviews and sales.

This is a fast-paced role requiring strong prioritization skills and the ability to handle confidential and sensitive information with discretion.

Key Responsibilities

  • Proactive diary management and room booking
  • Provide holiday cover to EAs
  • Support preparation of reports, documents and presentations
  • Liaise with external customer and clients in a professional and organised manner.
  • Organise travel, accommodation, visas, itineraries, reservations etc, for travel.
  • Process expenses and invoices in a timely manner learning the new PO system
  • Support with budget management
  • Develop and maintain contact lists
  • Support with company wide meetings
  • Ordering in products for reviews
  • Organising beauty and fitness products for company-wide sales
  • Prioritise conflicting needs, handling matters proactively
  • Deal with confidential and sensitive information in a professional manner
  • Be an ambassador of Hearst UK and its values.
  • To undertake such further duties as your skills, qualifications and experience allow and/or as may be assigned to you from time to time.


ABOUT YOU
  • Proficient in using Microsoft Office, Word, Excel, PowerPoint
  • Efficient and organised
  • Excellent communication skills, both verbally and in writing
  • Problem solving skills
  • Ability to use initiative and be adaptable
  • Ability to work under pressure
  • Self-motivated, forward-thinking and able to work autonomously
